职位描述

Job Summary:
The Office Assistant is responsible for providing administrative assistance and coordinating day-to-day activities of the Shenzhen Office.

This individual will possess a desire to directly contribute to the effectiveness and stability of Direct Supply Shenzhen Office.

Essential Job Functions and Responsibilities:
1. Manage all aspects of office administrative through regular phone contact, mail and office supplies, including putting infrastructure in place to have staff work at the office.
2. Be responsible for the IT support, conducting trouble shooting for co-workers and ensuring good connectivity for working, keeping track of issues and reporing to the leader in a timely fashion.
3. Facilitate corporate travel by arranging itineraries, transportation and lodging.
4. Represent the company by welcoming visitors, reviewing correspondence, arranging events and answering questions. Host local and overseas visitors with care and attention to detail.
5. Document meetings, events and follow up items clearly and concisely, provide necessary support and information to other co-workers, including information research and translation, etc.
6. Coordinate with external firm for monthly accounting, including gathering bills and receipts, submitting payments, keeping track of expenses.
7. Coordinate with Fesco for employment related tasks, including preparing employment contract for hires, keeping track of overwork time, informing holiday plan, etc.
8. Take the lead of job posting and scheduling interview for different initiatives.
9. Coordinate external resources necessary to respond quickly to office needs, requests and problems, including internet and phone service provider, recruitment service provider, etc.

工作内容:协助完成公司日常行政事务、IT事务及财务事务。

工作职责:
1. 接听、转接电话、接待来访人员;
2. 负责公司快递、信件、包裹的收发工作;
3. 员工差旅安排,如:预订机票、酒店、车、餐厅等;
4. 办公用品的计划、采购、登记及摆放;
5. 公司设施设备维护,如:打印机、投影仪、会议电话等;
6. 办公室环境卫生维护,如:花草维护、办公区域整洁、物品摆放到位等;
7. 会议安排,包括:会议室、电脑、投影仪、水、食物等供应;
8. 公司各类执照的年审、更改、更新、办理等事务;
9. 负责每月统计公司员工的考勤情况,考勤资料存档并在月末发给上级;
10. 招聘安排,包括:职位发布、简历筛选、面试通知、面试安排;
11. 新员工入职准备,包括:提供办公文具、办公座机、办公电脑安装;
12. 员工电脑、电话、网络及电子设备的故障处理;
13. 每月办公室管理费、仓库、互联网、花草维护等费用支付申请;
14. 收集出账发票、海关税票及报关单等付款凭据;
15. 银行业务办理,如:支票业务、付汇及结汇业务等其它相关业务;
16. 增值税发票事项,如:开具有效的增值税发票、增值税及海关专用发票的验证;
17. 审核付款申请资料并提交付款待上级审批;
18. 备用金管理,根据日常办公所需支付购买办公用品、快递费等费用;
19. 根据每月出入帐更新固定资产报表、财务报表;
20. 每月提供报销凭证原件及电子档财务报表;
21. 接收其他临时工作。
基本要求:
1. 具有良好的工作态度,工作细心负责;
2. 专科以上学历,专业不限;
3. 良好的中文沟通能力;
4. 简单的英语口语及书写能力优先;
5. 熟悉Word、Excel、Outlook等办公软件操作。
