职位描述

JOB PURPOSE:


Under general supervision of Sales Director and action on own initiative, performs confidential secretarial duties and office administrative supporting General Manager (Shenzhen Sales).


PRINCIPAL ACCOUNTABILITIES:


Responsibilities include assisting supervisory and non-supervisory employees with various administrative support tasks.


These tasks may include, but are not limited to:

? general filing and records maintenance,

? compiling data for reports,

? scheduling appointments and meetings,

? calendar maintenance for one or more employees,

? answering / screening telephone calls,

? preparing expense reports,

? preparing / editing presentations,

? making travel arrangements,

? distributing mail,

? greeting / escorting visitors,

? duplicating of work papers,

? And other established general administrative tasks.



JOB CONTENT (PRIMARY & SECONDARY FUNCTIONS):


1. Represents Executive while he/she is out of the office.

2. Able to deal with people effectively.

3. Makes good judgement calls and discerns urgent matters from those that can wait while Executive is away.

4. Co-ordinates Executive’s schedule including setting appointments, maintaining calendar of activities and events.

5. Organizes and schedules meetings and conference calls.

6. Preparing of meeting agendas and report materials, handles recording, transcribing and distributing meeting minutes.

7. Makes travel arrangements.

8. Receives, opens, screens and routes daily mail including responding to routine correspondence and inquiries.

9. Performs administrative support functions.

10. Drafts and processes correspondence.

11. Creates spreadsheets, charts, tables, etc.

12. Works with highly confidential material.

13. Answers and screens telephone calls.

14. Assists with special projects.

15. Maintains files.

16. Performs additional duties and responsibilities as assigned.



EXPERIENCES


? At least 1-2 years of secretarial and administrative experience.


COMPETENCIES (Knowledge, Skills & Attitudes)


? Proficient skills in typing, word processing and spreadsheet software

? Strong organizational skills with ability to co-ordinate multiple tasks and schedules of Executive

? Ability to follow directions, both oral and written

? Ability to communicate clearly verbally and in writing; on the telephone or in person.

? Excellent Communication and Interpersonal skills
