Position Title:Admin Assistant
Business Unit:Finance & Admin (CD Office)
Reports To:Regional F&A Manager, Western China
SUMMARY
Key roles and responsibilities of the Receptionist are:
I.To act as a Company ambassador to internal and external clients in communicating the Company’s image as a high-quality service provider to all clients, callers and visitors:
II.Work and manage the Company’s telephone switchboard operation.
III.Greet/receive and offer hospitality to visitors to the Company.
IV.Assist in the housekeeping of Public Areas, ensuring that a professional Company image is maintained at all times.
V.Provide support assistance within a variety of office functions.
VI.File management
VII.To carry out any other duties as directed by the management.
ESSENTIAL DUTIES
1. Promoting a Friendly Office Environment
As an ambassador of the Company and by virtue of the Reception’s focal position in the Office, the Receptionist is well placed to play a public relations role in setting the right tone for the office environment. The Receptionist expected to play an ambassador’s role in promoting a friendly and welcoming atmosphere in the Office by greeting staff members, offering assistance, etc.
2. Telephone Switchboard Operation:
a)Following Company guidelines, answer all telephone calls that come through the telephone switchboard system and direct them to the right departments or extensions; take messages from telephone callers whenever necessary or appropriate, pass on and follow up on such messages promptly and efficiently.
b)Execute outgoing calls including conference or overseas calls when required to do so by the Management or staff members.
3. Greet and Offer Hospitality to Visitors:
a)Greet and receive all visitors, noting down their name(s) and reason for visit, informing the relevant staff members of the visitors’ arrival.
b)Sign in/out on-site staff, auditors, contractors, consultants, delivery personnel.
4. Housekeeping of the Public Areas:
a)Ensure that the reception hall, lift lobby, meeting rooms and adjacent areas (hereafter referred to as “Public Areas”) are in impeccable condition at all times, reporting any wear and tear in public areas to Office Manager, CQ.
b)Ensure that the meeting rooms are cleaned and tidied up after each meeting.
c)Ensure on a daily basis that the brochure showcase is clean and tidy at all times, that outdated or soiled materials are replaced with updated, new publications.
d)Switch on any display monitors prior to office opening, ensure that any malfunctioning is reported and attended to immediately by the IT Department.
e)Maintain the professional image of the Company by ensuring that staff members do not behave in any way that will affect the Company’s image in the Public Areas.
5. Provide Assistance in Other Office Functions:
As required by the Operations Manager, assist with general office functions including but not limited to:
a)Courier traffic, liaising between the courier agent and staff members in respect of incoming and outgoing documents/parcels.
b)Enveloping of mail shots.
c)Record the photocopier meters on a monthly basis.
d)Manage the booking system for the use of the Meeting Rooms, Company cars and drivers.
REQUIREMENTS
?Speak fluent English and Mandarin. Working competency in written English and Chinese.
?Well-mannered, excellent grooming and with strong customer focus.
