职位描述
Responsibilities
1. Be the single interface / counterpart between the assigned local subsidiary (MD, Sales people) / customers and the Commercial Department.
2. Take ownership of all PO – order confirmation – invoicing – invoice tracking and dunning process related activities for the assigned subsidiary to ensure a smooth and efficient order management and billing process.
3. Get involved in each part of the process, means in Logistics and the Accounts receivables team, to ensure the fastest cycle time to process orders and invoices.
4. Directly interact with customers following up orders, deliveries or accounts receivables in agreement with MD / Sales people.
5. Receive PO, perform sanity check with the relevant customer profile, if customer profile is not inline with PO, inform the MD if there is a mistake and correct PO. If this is not enough, contact CSMSO.
6. Draft Sales contracts and agreements to Sales, store Sales contracts
7. Issue order confirmation within 24 hours after receiving PO. Order confirmation needs to include qty, price, approx.delivery date in ww`s, delivery adress. The responsible Sales guy needs to be on cc.
8. Together with the Logistics counterpart authorize deliveries from local warehouses. Deliveries to be authorized based on the FiFo pricipal.
9. Provide delivery information to the subsidiary (MD, Sales people) / customers and follow-up delivieries until they reached the customers warehouse.
10. In case of delivery delays, keep the MD`s – Sales people informed about delivery status.
11. Together with the Accounts receivables counterpart issue the invoice immediately after delivery authorization is done.
12. Together with the Accounts recivables counterpart follow-up payment and ask Finance to release dunning letters to customers if applicable.
13. Prepare PI for internal stock transfer from one subsidiary to the other if necessary.
14. Contribute to internal audits.
15. The tasks of the Account Specialist starts receiving the Purchase order (PO) and ends once payment is received from the customer.
Qualifications
1. Bachelor Degree and above
2. Advanced level of Microsoft Office
3. Minimum of 2 years’ experience in order management and / or relevant experience in Sales operations
4. At least basic ERP System knowledge
5. Direct customer interaction experience appreciated
Personal attributes
1. Excellent Interpersonal and communication skills
2. Team spirit
3. Excellent Germany or English skills in oral, writing and reading;
4. Be highly organized and have a sense of initiative - must be able to meet deadlines
5. Manage time, attention and focus on priorities where required
