Job Description

This position reports to the Head of Human Resources and Administration and assumes the following key responsibilities:

Administrative Support

  • Provide administrative services and advices to our Executive Directors, Head Departments and Business Units managers;
  • Control the implementation of office administration policies and procedures;
  • Maintain office records and reporting systems for official communications, contracts, property insurance policies;
  • Supervise the reception of visitors and handle office’s in-coming and out-going material; housekeeping and general maintenance;
  • Update and distribute administrative material.

Office Facilities, Equipment & Supplies

  • Negotiate and manage competitive vendor, supplier, contractor and landlord service and leasing contracts;
  • Procure and control the inventory of office & IT equipment, stationary and pantry supplies;
  • Monitor office access, security, functionality and the protection of company assets;
  • Assign work station, office & IT equipment and access rights to new hires;
  • Monitor the performance of the IT server, network, computers, duplication and phone equipment.

Travel Desk

  • Arrange, control and report on business travel & accommodation arrangements for all staff.
  • Coordinate invitation letter and work visa application and renewal.

This is an excellent opportunity for a highly-organized, service-oriented, problem-solver and multi-tasked individual; able to timely and effectively deal at all levels of our organization, often in complex multi-cultural interactions; at ease in a dynamic, fast-pace, entrepreneurial and high-pressure environment. You also support your candidacy with:

    • A Bachelor Degree in Business Administration, Human Resources or a Liberal Arts Degree;
    • At least 5 years in proven and related office administrative support role(s), ideally in an international corporate environment and at least one in a supervisory capacity.
    • Basic knowledge of IT network configuration and IT and communication equipment.
    • Proficiency in written and oral English, with knowledge of a second European language a definite advantage.
