职位描述
Job Responsibility:
1. Administrative Support to employees (Sales, Marketing, HR and others)
-Provide administrative support to employees in travel arrangements (air tickets, hotel booking, meeting arrangement etc)
2. Visitors Reception
-Assist in visa application documents for overseas visitors
-Receive/ transfer dial-in calls and greet visitors in a professional and polite manner
- Provide meeting support for VIP visitors
3. Company facility Maintenance
-Well organized and maintain company assets records including furniture, computers, office/cubical, telephones, cabinets and office keys.
- Plan, prioritize, and manage maintenance and upgrades to office equipment and facilities
-Work with accounting staff in annual audit on company assets.
4. Administration Cost Reporting
-Provide monthly administration cost report and analysis by department
-Assist Manager in office administration budgeting process
5. Implement and update admin policies and procedures
-Assist Manager to implement and update policies and procedures of office admin daily management, office security, purchasing, travel (air ticket, hotel, etc) arrangements, visitor reception, etc.
6. Vendor management
-Review and select qualified office vendors (not limit to stationary supplier, courier, print agency, car lease company, hotel) according to company policy
7. Other Admin support
-Update office notice board bi-monthly
-Monitor the clean environment of office and arrange festival decoration
-Maintain office plant
-Monitor office security (door system, evacuation route, etc) at regular base
-Assist on festival gift allocation and distribution
-Assist in special events, such as training, employee activities and the annual meeting.
-Backup when other admin assistant is absent from work
8. Perform miscellaneous job-related duties as assigned
Qualifications:
1) College degree or above majored in Administrative Management or related;
2) More than 5 years relevant working experiences and at least 2 years experiences in foreign-owned company, multi-site experience would be plus;
3) Strong organizational and project management skills;
4) Proven analytical and troubleshooting capability;
5) Effective interpersonal skills with the ability to interact with all levels of employees;
6) Detail-orientated and patient work attitude;
7) Good command of English both in oral and written is a must;
8) Familiar with PC operations, including MS word, Excel, internet and Outlook Express etc.
