What the job does:
We are looking for a driven, passionate superstar to join Team Tilbury as our Executive Assistant to GM. The Executive Assistant’s primary role is to be ‘right hand person’ to GM, to understand and manage prioritisation of meetings, workload and recommend and administer effective meeting cadence across the senior leadership team and external suppliers/retailers. The Executive Assistant will support GM in ad hoc commercial analysis and preparation of presentation materials for internal meetings as required and be required to support GM with minutes taking at the relevant internal meetings. In your role, you will report directly into our General Manager, China & Korea, and work cross functionally with other teams.
Accountable for the management of the GM’s diary and inbox, ensuring that GM’s time is managed effectively by understanding daily and weekly priorities and making judgement calls on prioritisation of their appointments to maximise the reach and impact; taking a strategic approach to the use of available meeting hours, managing multiple time zones and recommending efficiencies in meeting regularity and attendance.
Prioritise and plan diaries and mailboxes, looking ahead to ensure all pre-read and meeting agenda received in appropriate time, minutes are circulated and actions followed-up and incoming requests are prioritised and surfaced regularly.
Ensure the production of timely briefings, presentations and briefing notes to leadership team/others as appropriate from meetings.
Manage travel and expenses budget, including planning all international trips and time with regional teams in store and also include annual global team gatherings and agendas.
Support GM with commercial analysis, and high-level summarisation of incoming data/material.
Managing Team budgets, including raising the necessary POs and liaising with the Finance Team’s to ensure the timely processing of invoices.
Undertake any other duties or projects commensurate with the nature and grade of this post as required, including occasional out of hours working.
Assisting with external commitments.

Highly numerate and confident with excel
Excellent written and oral communication skills
Demonstrated ability to work in a highly pressured environment and manage upward
Demonstrated experience of dealing with highly confidential information
Ability to balance long term projects with the urgency of immediate demands
Excellent workload prioritisation
Strong presentation skills and the ability to convey complex messages succinctly and convincingly
Extensive, evidenced experience of gathering and analysing data, identifying themes and distilling information, writing briefings and making appropriate recommendations
Experience of giving, receiving and acting upon constructive feedback
Unimpeachable integrity and the ability to act in confidence
A high degree of emotional intelligence
Ability to work flexibly, particularly under pressure
Be effectively bilingual in English and Mandarin.
