职位描述
Responsibility:
1 Perform administrative and PA support work requiring.
2 Data consolidation / analysis and generate reports, draft PPT before timelines;
3 Handle for MD on travel request, ticketing and hotel reservation, monthly reimbursement etc., meanwhile arrange to get related approvals.
4 Follow up relevant whole contract endorsement process, including documentation preparation, detail checking, courier, record and filing etc.;
5 Take charge in company chop record and relevant audit coordination.
6 Provide agenda proposal and logistics arrangement for MD, senior manager and important customers;
7 Organize internal and external meetings & events;
8 Coordinate and effectively communicate in timely manner with stations, departments, customer and overseas offices/partners for related issues;
9 Assist MD to Deal with various escalation issues from internal or external properly ;
10 Assist to monitor compliance with internal and external regulations and guidelines;
11 Implement all purchase related policies in order to ensure the consistent operation of all of the company's procurement policies, procedures and practices.
12 Liaise with admin relevant venders and monitor their service.
13 Office lease contracts management in North China, take charge in BJS lease contract approval process on CEVA2
14 Apply CA and PA on Epayment system with purchasing request of BJS
15 Monitor purchase procedure while every expense is occurred and check whether the expense is reasonable, ensure every exceptional case could be declared to line manager in advance.
16 Consolidate PA log by the end of month and file all related documents appropriately.
17 Review fixed assets base on finance request, insuring the information of fixed assets was updated in fixed assets consolidation form.
18 Responsible for all license and certification application, change and renewal, including Registration Certificate, Business License, record register and employee work residence permit etc.
19 Supervise and maintain the office neatness, all stuff is orderly.
20 Logistic arrangement of Expat or foreign visitor including visa, work/resident permit, housing etc, assist to transact visa as well as other necessary document for employee who will have a international travel.
21 Organize annual dinner, tea break, birthday party and outing activity etc.
22 Support to arrange office relocation and decoration.
23 Other assigned jobs or projects.
Requirement:
? Bachelor degree above in English, business management, administration management or related major
? Minimum 3 years working experience with at least 2 years assistant to senior manager role within multinational companies.
? Be able to read, write and communicate effectively in Mandarin & English, especially have excellent written skill of English and Chinese.
? Be able to work and communicate effectively both orally and in writing with people in cooperative manner;
? Good negotiation and interpersonal skills;
? Proficient PC appliance, especially MS Excel and Power Point.
? Good interpersonal skill with business acumen
? People oriented, high level of initiative, a willingness to learn and should be capable working independently
? Warm-heartedness and open-mindedness are essential.
