职位描述

Position summary

This position serves as a key administrative support to the office services with strong expertise admin area, can working independently to maintain the office services at a high standard.


Principal duties and responsibilities including but not limited to:

Office administration

? Serve as the main contact to work with the onsite team of the facility management outsourced vendor; ensure the coorperation with the onsite team works seamlessly, the office requests are communicated with the onsite manager in a timely fashion and are followed through;

? Understand and deliver high expectation of service standard in office facilities maintenance, front desk hospitality, office and pantry supplies, that provides excellent client and employee experience;

? Manage the assigned budget in office services related spending, make wise choices to balance the budget and spend that maximize the employee satisfaction; conduct periodically check in with office staffs to understand th general interest and satisfaction; 

? Liaison with building management for emergency situation and other daily inquires; maintain good relationship as well;

? Provide and organize shanghai office events, such as HOD/ Cats Away lunch, Christmas Party, Connect Day and related logistics, provide admin support to social committee if needs;

? In charge of company stamps;

? Liaison with admin local vendors to improve their service quality and performance;

? In charge of internal process related to administration, includes but not limited new vendor adding, contract, payments.


Other responsibilities

? Coordinate local drivers assignment

? Provide back-up to receptionist if needs

? Might be allocated on an ad hoc basis if required

? Bachelor's degree required with 4-5 years relevant office administration working experience in professional firms or MNC

? Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel

? Ability to analyze and revise operating practices to improve efficiency

? Detail oriented and comfortable working in a fast-paced office environment

? Exceptional communication skills

? Superior organization skills and dedication to completing projects in a timely manner
