岗位:Commercial Assistant商务助理/销售助理/sales assistant/订单专员
上岗时间:
职责:
? Daily work on X-Flow, CodeLine pressure, and F&B.
o Coordination work with order handling department colleague, work with technical team colleague sometimes on-documents preparation/ technical questions on products / complaint creation etc.
o General Sales Support/Admin Assistance, provide the general sales support/Admin assistance
o If in the necessary situation for the team, coordinate with air ticket issuing department(CWT air service department), concur system reimbursement, admin support for our customers sometimes upon request, such as hotel booking, tickets booking or invitation letter preparation if needed.
o Help colleague from X-Flow Netherlands or customers of abroad, such as hotel booking and coordination on invitation letter preparation, etc.
o Documents keeping: POA(Letter of Authorization) , larger projects bidding document preparation, all kinds of letters, company documents, sales contract signed with clients, all distributors agreement, all useful commercial /technical documents, etc.
? Sales Support: New Sales Force system
o Try to master the new salesforce system and get familiar with it and gain more knowledge of it.
o Help leader create a new opportunity in the system ( including create new project information, adding products and SPR submission )according to the request.
o Coordination/communication with colleagues who is responsible for the system analyze and management.
o Check the leads of marketing qualified in Sales force system and send email to the inquirer who may be interested in our products for further following and made the conversion of the leads according to the real need.
o Updating task on SF system related issue: update the Sales force system (opportunities) regularly according to the request.
? Sales Support: Third Party issue /RPS Screening
o Third Party issue: apply for new third party(usually is distributor type of relation) on the system, including sponsor form submission on behalf of sales team members when necessary and follow up closely for each step, contract portion questionnaire completion and coordination with the contact person (from client company, the third party) for any requirement that they need to complete and accept relevant due diligence investigation requested by compliance team until they ultimately get a final approval from compliance team and begin to arrange the signing of distributor agreement issued by legal department.
o Coordination with legal colleague for new extension agreement issue and arrangement of the signing work of extension agreements by both parties for all distributors for the coming year.
o RPS Screening
? Sales support/Inside Service: Document preparation
- Document preparation: to prepare commercial document frequently and document related with commercial/business if needed, the most frequent is Letter of Authorization on project, quotation preparation and product quality guarantee letter, letter of declaration, letter of clarification, supplier qualification Documents preparation required by different client companies etc. coordination with Shanghai office for stamp request issue for each document that need to be stamped.
- Bidding document: bidding documents preparation and for the coordination work with sales and tender company and to complete commercial procedures all related with the bidding issue and make final binding of bidding document according to the requirement if necessary.
Translation document: translation work for contact business E-mail translation if necessary (between client and us) and translation for commerical\techincal documents or related commercial documents, etc. when necessary.
