职位描述

Responsibilities

- Handle all incoming phone calls

- Greet/handle all visitors and clients, making coffee, arrange drinks

- Register/collect/distribute of all incoming and outgoing correspondence/ documents

- Update contact list for office, make business cards and employees entry cards, name cards

- Arrange courier, postage, printing, and scanning

-Coordinate/arrange the maintenance of office equipment, furniture & fittings, telephone system, stationery (office supply) including office purchasing, apply new laptops for new staffs or replacement etc, do monthly stationeries checking

- Handle travel arrangements such as book hotel/ flight ticket/ train ticket, vehicle pick up etc

- Maintain/ monitor the hygiene and tidiness of the office such as pantry, meeting rooms

-Support office administration work for other departments or new projects (such as to find/collect call centre supplier’s quotations, setup special telephone lines, estimate travel costs)

-Support HR to organize company events and activities(monthly getting together, meeting room arrangement, gifts arrangement, snacks arrangement, carry out others activities)

- Finding T-shit, cup & poster with company logo

- Change back tape every working day in the server room, arrange IT daily works and assist to solve IT issues with HQ

- Responsible and renew admin contracts (hotel agreements, supplier’s contacts), find new hotels with better price

- Handle Office 5s meetings, summarize problems list (need to be follow up in next inspection), publish out result

- Update monthly big event calendar, update public holiday schedule

- Arrange meeting room bookings

- Other administration affairs supporting(such as safety first poster/ cards printing)

- Other Admin assigned by manager


Requirements

- College degree, Administration management/ HR major is a plus

- 1 year or above of Admin / HR experience

- Fluent in both written and spoken English

- Good interpersonal, communication and organization skills with courtesy manner

- Proficiency in MS Office (Word, Excel)

- A good team player with high degree of proactive approach to all job aspects

- Ability to work under pressure

- Able to work on own initiative

- Desire to learn and develop
