Position: Administration Manager (AM) and MD assistant
Administration manager organises and supervises all of the administrative activities that facilitate the smooth running of an office.
An AM may be expected to carry out a range of administrative and IT-related tasks. The AM's is responsible for ensuring that the office runs efficiently.
Typical work activities:
An Administration manager typically oversees all aspects of admin operations within a company's organization. The AM is typically the chief whip-cracker, babysitter and problem solver. The most important task of an AM is to assure that the company stays on schedule with regard to services provision and meets or exceeds the goals set by the Managing Director.
The administration manager's role would be more organisational and supervisory in nature.
In general
· Assist MD with reports writing, gathering of data and reporting to HQ;
· Assist MD in carrying out basic research on market trends and keep these statistics updated ;
· Ensuring that all Management reports, processes & procedures stipulated by HQ are made aware by each of relevant managers.
· Assisting the MD with diary and travel arrangements, correspondence, chasing deadlines and filing ;
· Assist MD at meetings with interpreting when necessary;
· Management of information for MD reports and meetings, including monitoring of budgets;
· Liaising with members of the senior management team on issues;
· Taking minutes at weekly meetings and weekly department meetings and delivering action plans;
· meeting with senior managers to review office issues;
· ensuring that phones don't go unanswered;
· utilising language skills when required;
HR
· Organising together with Vendor Manager the recruitment of new internal staff;
· Ensure Vendor Manager is following process for vendors especially NDA and filing of the same;
· Keeping files of each staff contract, evaluation, appraisals and maintaining records;
· Ensuring staff job descriptions and contracts are up to date;
· Highlight to MD any potential staff or management issue that he needs to be aware;
· Mastering travelling, absent, present and staff holidays report of all internal staff;
· devising and conducting induction programmes;
· keeping personnel records such as requested by HR government department as well as for internal requirements;
· Assist with carrying out interviews;
· Assist with training arrangements or euCN team building events;
Finance
· euCN budgets will be set by MD based on details gathered from relevant managers. The AM is to assist in ensuring that the relevant managers produce completed reports/documents in time;
· The AM is to closely manage the outsourced finance service company to ensure reporting is done accurately and in time based on HQ and euCN requirements;
· Maintain and keep up to date regularly with official bodies on relevant changes to the Finance requirements;
· Ensuring project invoices are sent in time relevant to project and monitoring of the same;
· Liaise with outsourced finance service company on payroll, taxes and all relevant accounting/bookkeeping work;
· Assist in monitoring expenditure v budget of euCN;
· Properly filing all receipts and reports for internal as well as tax bureau and auditors;
· Work with auditors and related internal/external departments when needed to ensure all documents/reports are correct and up to date;
· Filing and safeguarding companies finance books;
· Managing bank accounts and liaison with the relevant government finance departments;
Marketing
· Carrying out some basic marketing work;
· Provide support to sales and relevant work on database ;
· Carrying out some Marketing and sales research;
· Completing relevant power point presentation documents for meetings by MD;
Also
· organising office maintenance and repair work;
· supervising the implementation of new office systems;
· arranging for health and safety documentation, policies and all relevant work environment questions;
· ordering stationery and office furniture and ensuring its properly installed;
· Ensuring stock of stationary and letter head paper, business cards, flyers, pens, staples,... ;
· Maintain relevant chops in safe and secure place to only use when necessary
· Supporting the PM or Team leaders with events, PR and communications work ;
· Assist in carrying out certain business projects independently or as a team member as required;
· Organizing flights, cars, hotels for senior management;
· Managing the use and cost of the car/driver by when required by senior management;
· Maintain and always safeguard euCN interests as company;
· Provide the MD with honest feedback and opinion;
