1. Coordinating
Coordinating all activities related to the Document Control procedure, including but not limited to checking that technical documents, drawings, and commercial documents are filed correctly in the server.
2. Project Management documents control
Updating Project Master document list and Project Master Log on the server, participating in the project update meetings to update the Master Log, and ensuring the accuracy of all documentation.
3. Commercial Contract Filing
Responsible for the filing of Purchasing Orders, Sales Contract, NDA’s, Supplier agreement, tooling agreements, material distribution forms, material application forms. The filing is done by hard and soft copy (some documents have to be scanned). Filing log should be used on above mentioned files.
Need to also review the content of some of the forms (like supplier agreement) to make sure that its filled correctly by supplier and purchasing officer.
4. Performance Position Reports Checking
There are several kinds of report for each position that have to be turned in every month, quarter or bi yearly. The Document Control Clerk needs to check whether everyone submits these reports on time and following the managers rating on these about the reports quality.
5. New Factory Profile Filing
For new FTY’s, the clerk has to file the following documents:
1. Copy of business license
2. Code certificate
3. VAT certificate etc;
Suppliers qualification needs to be checked online on the government website.
6. Help (sometime) our sample handling
REQUIREMENTS:
1. A college degree is required with previous experience working in a project environment is preferable.
2. CET6 or above, good English skills in both oral and written
3. Computer literacy is a necessary, ability to use computer and rapidly input data and retrieve records and information.
4. Independent, self motivated, target oriented, willing to work under pressure and willing to learn.
5. Ability to keep clear and accurate records and reports.
