Job Summary
Wilton Brands is a craft and celebration leader, where great people deliver innovative products and exceptional customer service. The position of Operations Coordinator reports to the General Manager.
This position works closely with the China team leadership in providing overall administrative support to the General Manager of the China organization. The role provides a wide variety of operational and administrative support that requires independent judgment and discretion. The Coordinator performs various clerical and administrative support responsibilities such as scheduling appointments, preparation of documents, and general filing. Works on department projects as required, supporting documenting decisions and organizing meetings. Manages the Supply Chain intranet site for the China team, ensuring clear communication, data integrity and timely updates.
Duties and Responsibilities:
? Project support (Approximately 50% of time)
o Collaborates with and assists China leadership team in implementation and execution of projects identified and required by the business.
o Creates and maintains project schedule and controls related documentation flow among internal and external customers.
o Organizes regularly-scheduled cross-functional meetings to update project status and track against key milestones.
o Tracks meeting decisions, open issues, critical issues/tasks and action items.
o Organize and update centrally located databases on Supply Chain intranet and share folders.
? Administrative support (Approximately 50% of time)
o Coordinate administrative activities for Shenzhen office and Shanghai offices
o Prepare and process routine forms, documents and correspondence, such as, expense reports, requisitions, etc. following standard procedures.
o Provide support in making travel arrangements for leadership team.
o Organize and maintain file system, and file correspondence and other records. In some cases, records may be of a highly confidential nature requiring discretion.
o Plan department events including team building.
o Manage and coordinate development and maintenance of visual work environment for China team. Ensure the storage room is tidy and organized.
o Coordinate schedule(s), make appointments and maintain calendar.
o Types into finished form a variety of materials including letters, inter-company e-mails/communication, confidential reports, detailed presentations/charts, with responsibility for format, arrangement of attachments, correct spelling, punctuation and grammar, and the selection of the most efficient and effective software tool
o Order and maintain supplies, and arrange for equipment maintenance.
o Liaise with external IT service providers to maintain Shenzhen office IT facility properly functioned. Coordinate with headquarter IT team to improve IT infrastructure and performance
o Distribute mail.
Knowledge, skills and abilities
? Expertise in standard desktop applications, especially those used in the development of presentations, to include Microsoft Word, Excel and PowerPoint.
? Highly organized, and self-motivated, with strong multi-tasking ability.
? Strong teamwork and interpersonal skills.
? Ability to work with minimum supervision in a fast paced environment with rapidly changing priorities.
? Ability to accurately file alpha-numerically or using other standard file systems.
? Ability to efficiently use China office equipment such as multi-line telephones and voice mail systems, fax machines, copiers, etc.
? Ability to appropriately accept and keep confidential information learned in the performance of the job.
? Ability to communicate effectively with all levels throughout the organization.
? Analytical abilities sufficient to handle most complex clerical functions.
? Must be able to work on assignments that are moderately complex in nature where judgment is required in resolving problems and making routine recommendations.
? Must be able to prioritize multiple projects and responsibilities.
? Must be able to work without instruction on routine work and general instructions on new assignments.
Education and/or experience
? Effective written and verbal communication in English and Mandarin
? Minimum of 5- 7 years previous experience providing clerical and administrative support to one or more individuals required.
? High school diploma or equivalent required.
? Bachelor’s Degree or other college-level education preferred.
