Responsibilities:
Handle a wide range of administrative and executive support related tasks with, at times, little or no supervision.
This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting the office of Senior Partners of the company.
She/He needs to interact with people at all levels in a fast-paced environment, sometimes under extreme pressure, and remain flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.
Typical tasks include:
- Support Senior Partners all administrative/executive support tasks.
- Assist Senior Partners with incoming and outgoing communications.
- Organize meetings; liaise with clients and other regional office staff before and after the meetings.
- Organize executive meetings; liaise with Marketing Dept for ad hoc events, as required.
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
- Organize Senior Partners domestic and international travels and other logistic arrangements, travel expense claims after the business trips.
- Receive telephone calls on behalf of the Management Dept.
- Handle daily correspondences, minutes, reports and other documents.
-Complete temporary tasks assigned by the Department Head.
Requirements from candidates, provide details of skills and/or experience with:
- Major in English, 3 years working experience and at least 1 years director level PA work experience in fast-paced Western or multi-national corporation.
- Excellent communication skills with fluent spoken and written English and Mandarin.
- Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
- Experienced in preparing and scheduling travel arrangements for senior partners.
- Excellent organization skills with a strong orientation to details.
- Ability to learn new things very fast.
- Ability to multi-task.
- Ability to work under pressure.
- A high level of energy, commitment, the right attitude and a passion for results.
- Exposure to finance reporting an advantage.
