POSITION SUMMARY
Plans, coordinates, and supports a wide range of general office operations and activities, and support operations in secretarial job and reception, manage meeting and communication, reports etc. to facilitate operations

ESSENTIAL DUTIES AND RESPONSIBILITIES (Incumbent performs other job related duties as assigned.)

? Business Trip administration management:
? Internal employee’s business trip support: Visa application, air ticket, hotel arrangement etc.
? Visitor reception support: Visa documents, transportation, hotel arrangement, office and meeting scheduling etc.

? Meeting and Meeting room Management:
? Assist operation meetings or management level meetings; Prepare meeting presentation material, conduct meeting minutes and meeting room logistics arrangement; follow up the action plan and collect related reports.

? Communications management:
? Contacts company personnel at all organizational levels to gather information and prepare reports
? Assist GM for all hands meeting arrangement
? Send company-wide announcement and notice to all employees

? Business certificates and expatriates certificate management, work permit application
? Company van and HK-SZ transportation management, including contract, company van assignment and cost analysis etc.
? Coordinates activities between departments and outside parties, such as American membership and UK membership etc.
? Business Contract and company chop management

REQUIRED TECHNICAL SKILLS
? Excellent command of both oral and written English is a must
? Must be highly efficient in secretarial tasks which include managing complex schedules, organizing meetings, preparing presentations and reports, making travel arrangements etc.
? Familiar with the laws and regulation of PRC is an added advantage
? Computer skill in using established software
? Candidates must have a strong sense of urgency, detail accurate, possess a positive attitude to serve, and be highly approachable by employees of all ranks
? Well planning and organizing ability
? Good business writing skills
? Confidentiality and sensitivity
