General Summary:
Administrate travel arrangement and organize management administrative activities and secretarial duties with minimum direction
Duties & Responsibilities:
? Administrate travel arrangements for DG and DGGS personnel. Proactively ensure that conflicts are managed.
? Track travel expenses vs. budget
? Provide administrative and staff support
? Coordinate vendor meetings and conferences and make appointments.
? Assist in the preparation and control of records, statistics, and management reports that are required for legal compliance and ensure these are kept up-to-date. Proactively inform the country manager or the Head of HR about any non-compliances
? Analyze information when required by the country manager and provide intelligent reports
? Organize complex programs, projects, and processes specific to the operating unit served
? Serve as liaison with others within and outside the Company regarding to administrative activities
? Receive and screen communication to the country manager, including phone calls, email and other correspondence and respond to the communication as appropriate.
? Anticipate the impact of changes to policies and ensure that all the relevant documents are updated accordingly
? Assist the management team on ad-hoc confidential projects.
Knowledge, Skills and Abilities (KSAs):
? Team builder and customer service driven
? Advanced knowledge of Microsoft applications
? Ability to communicate effectively (written and oral) with Senior Management and various departments throughout the Company
? Ability to organize and prioritize multiple complex tasks in a deadline-driven environment.
? Ability to handle confidential matters efficiently.
? Ability to deal with ambiguity and changes
? Fluency in written and spoken English, Cantonese and Mandarin.
Work Experience &/or Education:
? College degree in business or related discipline
? 3-5 years of experience in management administrative area
