Purpose of Position:
Responsible for overall front office activities and act as first point of contact greeting and directing all visitors, including vendors, clients, job candidates and customers, including answering and directing phone calls. Handle a range of other administrative tasks and special projects identified by the ADM & HR Manager.

Job Responsibilities:
1. Manage the reception area by greeting guests upon arriving at the office and answers general questions and by ensuring effective telephone and mail communications both internally and externally
2. Monitor and keep staff attendance system records also of visitors signing in and out of the office and report to superior regularly
3. Monitor and ensure that the reception area is kept tidy and projects a business-like image
4. Make travel arrangements for internal staff and external visitors
5. Check and sign for deliveries, before informing the relevant member of staff of their arrival
6. Provide office supplies (Stationery & kitchen supplies) for staff and maintain adequate stocks; task includes ordering new supplies, identifying new suppliers and obtaining the best price
7. Monitor and support conference room reservations and organize all aspects for meetings
8. Update various spreadsheet sheets and other general administrative duties as needed
9. Support HR&ADM-related tasks in ad hoc duties
10. Contribute to team-wide communications and knowledge management, and participate in organization-wide events and discussions on related topics/projects

Job Requirements:
A. Competencies & Skills:
1. Superior communication and interpersonal skills
2. Able to work independently as well as part of a team with a pro-active, self-motivated, diligent and responsible manner
3. Excellent customer service orientation delivered in a cost efficient way
4. Superior in organizing and prioritizing, accurate and efficient with attention to detail and the ability to multi-task
5. Proficient computer skills in MS Office
6. Strong knowledge of general office procedures and office equipment
7. Excellent command in spoken and written English, Cantonese and Mandarin
B. Education & Work Experience:
1. High school diploma or equivalent
2. 3 years of work experience as a receptionist/administrative assistant or in customer service
