Executive Assistant and Communications Support

POSITION OVERVIEW

The Executive Assistant and Communications Support, Asia Pacific, reports to the VP, Asia Pacific, has regional responsibility to provide high level secretarial and administrative support to Regional VP and other executives, and to assist communications manager on internal and external communications.

PRIMARY RESPONSIBILITIES
Executive Assistant responsibilities:
1. Coordinate Regional meetings, events and projects, take minutes and follow up action items if necessary;
2. Coordinate and schedule business travel and manage calendars
3. Handle confidential information and maintain the security of the executive’s records and files;
4. Prepare reports and financial data in excel, Power Point presentations and submit expense reports.
5. Prepare various letter, official information, reports as assigned and translate when necessary.
6. Liaise with other affiliate offices as necessary to arrange schedules, accommodation and meetings;
7. Provide all assistance to expatriates and their families to ensure that the transfer to Shanghai and subsequent settling-in period is smooth and hassle free;
8. Supervise the day-to-day operations of a variety of office services to ensure that office administrative needs are met efficiently, reliably and economically;
9. Responsible for office management and point of contact for building maintenance
10. Safety leader for Shanghai headquarter including selecting safety topics with guidance from Safety manager and scheduling safety meetings.
11. Manage driving and cleaning staff.

Communication Support responsibilities:
1. Support Communications manager on Internal Communications, Meetings and Events.
2. Contribute content for assigned communications channels including announcements, intranet content, company newsletter, employee video messages, executive presentations, company meetings and special events
3. Coordinating the work of creative agencies and communications vendors and contractors, such as translators, photographers, A/V teams, etc.
4. Support communications manager on Brand Management
5. Coordinate in regional trade shows, media events and other externally focused company events.
6. Participate in content creation for marketing materials, web pages, presentations and other external communications materials as assigned.
7. Support online communications by helping to develop web and social media content.


REQUIREMENTS
1. Bachelor degree with major in English, administration, management;
2. At least 3 years working experience in similar position in MNCs
3. Fluent in English & Chinese, both written & spoken
4. Project coordination experience
5. Market communication experience is a plus
6. Proactive, anticipates needs of people he/she is supporting
7. Excellent excel and power point skills
8. Excellent interpersonal skills and strong organizing skills
9. Ability to keep confidential matters confidential, possess characteristic of detail attentive, strong sense of responsibility
