Main Responsibilities:
Perform a variety of secretarial and administrative duties
a) Manage Regional Head’s calendar. Coordinate with both internal and external people to perform diverse scheduling. Prioritize and manage multiple projects schedule simultaneously, remind head and follow through on issues in a timely manner.
b) Ask for instruction from Head for the application reports from different departments.
c) Receive and interact with incoming visitors.
d) Develop agendas and schedule meetings for various corporate and client visitations.
e) Maintains all kinds of documents and files.
f) Prepare visa, expense reimbursement etc. for Regional Head.
Involve in some regular and random jobs
a) Follow up the progress of some corporate projects such as the HR projects of KPI setting, O-chart, etc. and report to Head in time.
b) Follow up the monthly reports from finance, sales department and marketing department etc.
c) Make meeting minutes for the monthly management meeting and some other meetings.
d) Fulfill some translation tasks.
e) Make some presentations for Head.
f) Execute some random tasks assigned by Head.
Work out the cost accounting of products and issue the price structure
a) Collect all the relative cost from purchasing department, manufacturing department etc after getting the request from sales or marketing department.
b) Ask for the corporate base price from Head and inform the responsible person and ask for the price structure.
c) Issue the price structure to relative departments after confirming by Head.
Main Requirements:
1. Bachelor degree or above in Business Administration, Secretarial or relevant majors
2. At least 3 years’ experience of assistant or secretary and general knowledge of each functional department. Working experience in multi-national companies is preferred.
3. Be good at English, Excellent written and verbal communication skills. Good interpersonal skills. Open mind and flexibility.
4. Proven multi-tasking capabilities with strong organizational skills
5. Experienced in MS Office applications
