Assistant to GM-Secretary to GM-总经理助理-总经理秘书
Report to: German General Manager
Main Responsibilities:
Communication
Daily Interpretation and translation work by English and Chinese, internally and externally of the company.
1. Assist GM’s appointment, schedule, meeting, etc, meeting minutes and follow up documents and keep in filing, remind GM for the important appointment,event,etc.
2. Help GM for the daily business if needed, like search or talk with Chinese supplier, product, or contact customer, etc.
3. Compose correspondence/reports for own or manager’s signature
4. Catalogue, name card, and other documents filing to help GM work more efficiently.
5. Check deadlines on incoming requests and put preliminary work in play
6. Process replies on own initiative or from bosses’ dictation or notes
7. Hotel, ticket booking, help reimbursement for the GM for the invoice of expenses, visa,
8. other GM assigned task,
Amd&HR management if has experience.
Exporting, Customer order follow up:
Assist to talk with customers for inquiries, order follow up, goods arrangement, shipment&logistics, exporting documents,etc
Assist to talk with supplier, or sourcing sometimes for some customers, product and production, delivery follow up
Have experience in exporting, Int'l Trade,etc
Appointments/Meetings
1. Maintain calendar; ascertain which events require boss’s presence
2. Fix commitments to maximize boss’s time efficiency; Allow decision/desk time
3. When boss chairs meetings:
Visitors
1. Screen to control interruptions
2. Provide back-up data as needed
3. Arrange amenities as needed
4. As arranged, "rescue" boss from laggards
5. Schedule visits away from boss’s area to protect priority/private tasks
Travel
Some travelling to supplier and customers in China is needed, and assist for the trip visit and translation work.
1. Arrange travel through internal or outside agents
2. Arrange travel cash in advance
3. Prepare itinerary, trip file and supplies
4. Prepare expense report tools for boss
5. Complete expense reports after trip
Projects
1. Handle administrative detail
2. Seek greater role in projects within administrative and other areas of competence
3. Seek training on projects outside my range
4. Recommend management action to improve standard operating procedures. Present comparisons on costs, risks, and benefits
5. Take part in any administrative meetings to assure secretarial follow-through
Main Requirements:
1. 3-5 years experience in Multi-National Company, Female preferred.
2. Excellent English and Chinese (especially in translation)
3. Strong business acumen, have experience in International Trade will be preferred.Know the business term and exporting procedure well will plus to the work.
4. Proficient in Word, Excel, Outlook etc. Photoshop skill is preferred
5. Can-do attitude
6. Good communication skills
7. Ability to learn quickly
8. Bachelor or above, English major and Biochemical background will be a plus.
Hard working ,reliable, responsible, like to learn , can pay attention to details, team work spirit, efficient, can do attitude and strong ability in solving problem , and organize work. Working experience in foreign company and Multinational company preferred.
