职位描述

Job Purpose:

Help GM become more effective and productive in achieving business objectives; will manage the GM's routine administrative work, scheduling, document/file for GM, special tasks, and anything else that may be needed from time to time in relation to the GM's work.

Principal Accountabilities:

1.Screening telephone calls, enquiries and requests, and handling them when appropriate;

2.Welcoming and looking after visitors;

3.Organizing, maintaining calendars and making appointments;

4.Dealing with incoming email, faxes and post;

5.Dealing with correspondence, writing letters, translations, taking dictation and minutes;

6.Producing documents, briefing papers, reports and presentations;

7.Carrying out background research and presenting findings into subjects that GM is dealing with;

8.Organizing and attending meetings, and ensuring the manager is well-prepared for meetings;

9.Liaising with clients, suppliers and other staff;

10.Collecting and aggregating various data and documents from GM’s direct reports, including monthly departmental performance statistics;

11.Organizing and storing paperwork, documents and computer-based information;

12.Publishing presentations and other documents on the company’s intranet;

13.Arranging travel and accommodation and, occasionally, to provide general assistance during presentations

Education background/Qualifications:

University or college Degree in Business, Languages, or related
Working experience:

3 years related experience and/or training; or equivalent combination of education and experience.

Skills:

Excellent written and oral communication skills in both Chinese& English;

Good word processing and IT skills, including knowledge of a range of office software packages, higher skill for powerpoint is must; and skill for excel is essential.
Good clerical and administrative skills;
Good personality, honesty and reliability;
Excellent organizational and coordination skills, team work player.;
The ability to work on your own initiative and to tight deadlines;
Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines;
Good sense of confidentiality
