职位描述

Job Objective
- Ensure the maximum assistant and secretarial duties are provided in an efficient and confidential manner and make the business operations process orderly and effectively.
- Ensure actively working together with all business partners to ensure business operation smoothly.
- Organize and support all kinds of events or meetings. Prepare program budgets, facilitate several programs around the conference/congress, control inventory, handle logistics and interviews and supervises employees.
- Cross-functional capability. Co-ordinate with other support staff to ensure smooth implementation of functional activities.(Fin, SC, HR, Admin)
Key Result Areas
- Ensure the maximum assistant and secretarial duties are provided in an efficient and confidential manner and make the business operations process orderly and effectively.
- Type drafts, articles, reports, proposal, charts and a variety of correspondence using mechanical or electronic word processing equipment.
- Prepare routine correspondence on own initiative or from verbal instructions.
- Receive, screen and route incoming telephone calls; place calls, receive visitors, arrange and prepare for appointments and maintain a calendar in a timely manner.
- Receive and distribute incoming mail; assemble correspondence for mailing; receive and transmit material using facsimile machine.
- Arrange and confirm travel reservations, selecting an economical and time efficient mode of transportation and lodgings. Prepare detailed itinerary to facilitate travel. Make zero mistake and efficient and effective booking and notice.
- Be responsible for visa management of multinational countries. Arrange internal and external executive visits for incoming and outgoing overseas visitors
- Prepare and process routine forms, documents and correspondence, such as time sheets, requisitions, purchase orders, transmittal forms, department travel weekly summary, offline payment, etc.
- Set up and maintain files of documents and records, ensuring accurate and logical organization of files; control confidentiality of files as necessary. Formula control and facility internal audit.
- Monitoring inventory levels of office suppliers and souvenirs. Vendor application and arrangement. Presents selection and purchase.
- Ensure actively working together with all business partners to ensure business operation smoothly.
- Monthly scorecard collection and report. Communicate with Finance, Production, QA and Supply Chain team on monthly KPI data collection, do the consolidation and analyze, then report to Plant GM.
- According the monthly scorecard, update the Plant Metrics and report.
- Update Key Metrics by weekly on LT Meeting.
- Working with Finance, Production, Operation, QA and Supply Chain team on Plant BP discussion and finalize. Prepare BP discussion meeting, consolidate the material, polish and report to Plant GM.
- According to PAR to ask plant GM to print the Official Formula, initiate the formula in ETQ and maintain it at Service Guideline.
- Support and help Operational Excellence work stream implementation. Help to translate the material and post.
- Organize and support all kinds of events or meetings. Prepare program budgets, facilitate several programs around the conference/congress, control inventory, handle logistics and interviews and supervises employees.
- Organize and support all kinds of events or meetings. Such as CPS Asia BP workshop, China customer service meeting, CPS SH Annual workshop, Plant Town Hall, FLT Monthly meeting, etc. Find ways to make the events more productive by providing effective methods in its business operations. Prepare program budgets, facilitate several programs around the conference/congress, control inventory, handle logistics and interviews and supervises proper people.
- Support and help to initiate employee activities and workshop. Prepare activity or workshop budgets, facilitate several programs around the activities and workshop, control inventory, handle logistics and interviews and supervises proper people.
- Help to fostering employee engagement.
- Cross-functional capability. Co-ordinate with other associates to ensure smooth implementation of functional activities (Admin, Fin, SC, HR).
- Be in charge of the notice boards all over the plant, make proper communication with vendor to design, post and update company information to associates.
- Support Admin Manager to manage the plant admin, like cleaning people manage, furniture maintains, stationary control, project controller keeping.
- Plant conference room arrangement. Set up and maintain conference room booking system.
- Control and maintain contract review and seal chop process. Check the contract and get the signature from plant GM and Finance manager, stamp the chop at Legal.
- Prepare Monthly EDI service change payment. According to the payment notice do the PO, and follow up the payment and invoice. Avoid the service be stopped.
- Collect the Duty and VAT from procurement team, check if it exceed the budget and decide whether or not need the signature of plant GM, if not, go to get the chop from the bank, record and give it to Finance on time.
- Material Insurance Compensation.
- Check and give the confirmation to travel agent on travel itinerary for all plant associates. Check report on monthly.
- Do the custom clearance for QA sample and follow up.
- Handle monthly and urgent R&D ingredients order and follow up the process.
- Help APTC and R&D to pay the Duty and VAT through EDI.
- Manage and maintain the E-Port and EDI system. Communicate with the Custom on user application and update.
- Verification Form application.
- Collect the OT reports from every department at the beginning of every month, check if it exceed 36 hours and do the consolidation and report.
- Monthly leave report. Help production and warehouse operators records the leave at SAP, and do the report monthly. Help line managers to control and manage.


Knowledge & Experience:
- Secretary to VP or Director: 5 - 8 years secretarial experience in multinational companies.
