职位描述
Title: F&C APAC Assistant and Communications Expert/ 部门助理
Location: 徐家汇
Purpose of the job:
- To support and closely collaborate with line manager as well as APAC finance management team in the implementation of various processes and tasks.
- To support the function by ensuring smooth operation of versatile administrative tasks and processes.
- To act as a link and a contact person in own function and towards other functions and external interest groups.
Report to: Head of Business control, UPM Paper Asia
Key Tasks:
1.Assist line manager and management team with supportive tasks in timely manner
- Well manage calendar for line manager
- Coordinate and arrange travel arrangement, e.g flight tickets and hotel booking
- Assist with scheduling meeting, preparation of the material, record and distribute meeting minutes in time
- Arrange and coordinate internal and external visitor’s schedule, incl. visa application, hotel and transport arrangement etc
2. In charge of organizational communication
- As contact point to liaise with internal and external counterparts for efficient communication
- Assist line manager and management team in preparing presentation materials
- Organize employee activities in accord with annual event planning
- In charge of office platform concept, continuous improving working environment
- Timely team site updates
3. Assist in people plan and implementation
- Organize and coordinate internal trainings
- Assist in employee engagement program, incl. organize and attend employee engagement workshop, identify focus areas and action plans and follow up
- Working with HR on other required tasks
Requirements:
Experience, knowledge and skills (functional competencies):
- Bachelor degree in business administration
- 2-3 years' work experience in administration work
- Fluency in English and Chinese is essential
- Proficient in PowerPoint, excel, word
Personal attributes (behavioral competencies):
- Development mindset and openness
- Sound logical skills and punctuality
- Communication and people skills orientation
- Willing to learn
Safety Requirement:
- Monitor and ensure UPM safety rules and standards are effectively implemented in regional office
- Assist in safety training arrangement to improve employee awareness
- Assist in investigation of all accidents and ensure corrective and preventive actions are implemented
- Maintain effective regional office 5S
