The Administrative Officer of Programme Cluster oversees and delivers administrative services academic departments, teaching centres and programme clusters. The Administrative Officer is a member of the XJTLU professional services network and reports directly to the Team Lead, Departmental Secretaries and with an additional reporting line to the Head(s) of Department, Director(s) of Centre and Chair of Programme Cluster.
The responsibilities include:
1 To support the daily department administrative operations, including support for internal and external queries, teaching and research processes, financial expenditures, travel arrangements, event and visit organisation, new staff induction, web page maintenance, graduate student recruitment and others
2 To supervise secretaries in the department to balance workloads and ensure the quality of administrative services provided to staff and students.
3 To provide committee service to departmental and university committees, as assigned, such as learning and teaching committees, progress committees, staff-student liaison committees
4 To support department head, centre director and Chair of programme cluster and senior staff to coordinate activities and track follow-ups
5 To provide administrative support to the departmental budget and planning processes
6 To collaborate with Centre for Academic Affairs to support assessment, quality assurance, programme management and research administration processes
7 To represent the secretary team in departmental and university decision-making processes
8 To provide or arrange personal secretarial support to department head, centre director and Chair of programme cluster
9 To participate as a team member on inter-departmental projects, as assigned
10 To undertake university special projects, as assigned
Person Specification:
1 A Master’s degree plus three years’ working experience or a Bachelor’s degree plus five years working experience.
2 Experience in supervisory role is an asset.
3 International experience or education is an asset
4 Bilingual (English and Chinese) with written and spoken skills in both languages.
5 Experience of working effectively with a wide range of people from many nationalities
6 Experience writing minutes and tracking follow-up tasks
7 Ability to work effectively as part of a team, and to liaise with colleagues in other offices where work interests overlap.
8 Ability to work on a variety of tasks at the same time, and to organise and prioritise own and others’ work, including coping with unpredictable volumes of work and busy periods.
9 Strong interpersonal and communication skills
10 Ability to coach and mentor new staff
11 Experience handling confidential matters
