职位描述
The Professional Services Manager oversees academic support services to academic departments and programme clusters. He/she ensures that the departments are well-supported and that administrative officer/secretary team operates as a network across departments. He/she manages projects other offices to ensure departments are well supported. This position is part of the Centre for Academic Affairs management team and reports to the Director, Centre for Academic Affairs
1 Hires, evaluates, supervises, and coaches programme cluster administrators and departmental secretaries
2 Liaises on a regular basis with academic department heads to ensure that professional services, including budgeting, finance tracking, operational management, student experience and academic policy and procedure support are efficient and supportive
3 Manages projects for work process improvements and new technology implementations in a collaborative environment, based on feedback from professional services staff and academic staff
4 Works with departments and various offices in the Centre for Academic Affairs and with other offices in other service centres on campus, to streamline and improve work processes that support departments
5 Drafts and updates administrative procedure documents
6 In collaboration with departments, sets professional service level expectations, and monitors improvements in this area
7 Conducts information sessions with tips and advice on best practices in departments; organizes sessions with other offices on campus, so that departmental secretaries are well-informed on university practices
8 Tracks expenses against budget for Centre for Academic Affairs, and advises academic departments on setting up internal systems within the department to track expenses against budget
9 Works as a team with the School Manager and other heads and managers in the Centre for Academic Affairs
10 Works closely with HR and Finance, to ensure that academic departments have the information they need to comply with university policy
11 Manages change management projects and other projects, as assigned
Qualifications
1 Masters degree plus 10 years of experience, or Bachelors degree plus 7 years of experience
2 Positive individual with ability to effect change in a collaborative manner
3 Several years of supervisory experience
4 Project management experience preferred
5 Demonstrate training skills
6 Strong office/administrative skills
7 Skilled in the use of software to improve office efficiency
8 Good financial accounting/bookkeeping knowledge.
9 Experience in devising operational procedures
