职位描述
Job Description:
1. To support department/center administrative operations and research projects as appropriate
2. To act as Secretary to Head of Department/Centre. Typical tasks include: managing diaries, screening phone calls and enquiries, greeting visitors and making travel and accommodation arrangements
3. To support departmental and institutional Quality Assurance Process
4. To provide meeting support including agenda creation, minutes taking and follow-up of actions
5. To provides advice & support to staff in arranging travel and accommodation as necessary.
6. To enter and retrieve data to/from the Student Records System, and to provide statistics/data for formal University returns
7. To coordinate updates and maintenance of departmental web page
8. To maintain databases for academic departments on holiday/absence information.
9. To backup other department/center secretaries as assigned by team leader of departmental secretary
10. To undertake special projects as assigned by team leader of departmental secretary
11. To provide an important point of contact to students, staff and visitors
Person Specification:
1. Bi-lingual (English and Chinese) with excellent written and spoken skills in both languages.
2. Good working knowledge of secretarial/office work.
3. Excellent computer skills in using word process, spread sheet and presentation software.
4. A high standard of literacy.
5. Attention to detail in working on reports and correspondence including accurate typing and proof reading skills.
6. Excellent telephone manner and interpersonal skills.
7. Ability to deal effectively with a wide range of people, to work as part of a team, and to liaise with colleagues where work interests overlap.
8. Ability to work on a variety of tasks at the same time, and to organize and prioritize own work, including coping with unpredictable volumes of work and busy periods.
9. Dependability, reliability and ability to produce work of high quality.
10. Good personal organization, ability to organize others.
11. Possession of the basic knowledge and skills required for job and the ability to use these to produce a high level of output.
12. Good interpersonal skills: ability to work with staff, students and colleagues.
13. Ability to prioritize work and to reach decisions quickly,
14. Ability to handle confidential matters expeditiously.
15. Flexible approach to work.
