Occupational Summary:
Duke Kunshan University (DKU), Duke University, and the Medical Physics Graduate Program at Duke University have developed a Master of Science degree in Medical Physics (DKU MSc-MP), which will accept its first cohort in August 2014.
The Education Program Coordinator for the DKU MSc-MP is a Kunshan-based staff in Medical Physics who will provide tactical support to directors of the program, coordinate routine program activities, and provide administrative support for student supporting activities.
Essential Duties:
Financial matters
Maintain the financial books for the Program, including keeping an up-to-date report on the income and expenses for the Program
Work with the DKU Finance and Administration Office to pay bills to outside vendors, transfer funds between DKU and the various departments at Duke University and its Medical Center
Logistics of student recruitment and admission
Manage the logistics of student recruitment including emailing other schools about our Program, procuring and renewing advertisements, and arranging open houses
Directly support the student application process by corresponding with students, meeting student visitors to campus, and answering student inquiries about the details of applications in process
Academics logistics
Work with the Director-in-Residence to prepare class schedules, maintain course lists, and coordinate course listing with the registrars at Duke and DKU.
Act as the primary point of contact between the Medical Physics program and other academic units at DKU, Duke, and Duke School of Medicine
Assist instructors with getting access to STORM and Sakai and ensuring that their classrooms are equip with the well-maintained and appropriate classroom computing and A/V technology.
Work study position and services management
Hire and manage work study students for administrative support
Arrange with DKU for IT support services
Student professional orientation logistics
Work with DKU Student Life team to organize yearly Career Days and Resume writing workshop
Communicate and coordinate with employers interested in recruiting Medical Physics graduates
Program data management
Collect and maintain data about all Medical Physics students, faculty and alumni and use this data to prepare directories, lists, and various statistics needed by DKU, Duke, and the Medical Physics program
General administrative support
Assist the Director-in-Residence and the Director of Graduate Studies in administrative matters including preparing documents, filing, correspondence, running errands and any other administrative matters
Grant related matters
Work with the Medical Physics Directors and the DKU Director of Research Support to prepare paperwork for filing of Program grant applications and handling the finances for grants
Collect and maintain CVs and Other Support of Program faculty for training grants
Communication and reporting to Graduate School
Handle correspondence with the Duke Graduate School, including filing forms for each student, communication about students’ budgets and accounts, faculty appointments, and other matters
Administrative interface with departments, schools, Deans
Work with the Director-in Residence to respond to communication and requests for information from other departments, schools, and Deans
Logistics of Program activities
Schedule rooms for classes and seminars, arrange for maintenance and repairs, and order furniture, equipment, and supplies for program space
Other duties as assigned to reflect flexibility of the above assignment.
Qualification:
Education:
Bachelor’s degree is required, Master’s degree is preferred
Knowledge of medical physics is preferred but not required
Experience:
Minimum of one year of professional experience in academic administration, international education preferred but not required
Desire to work in a team-oriented, dynamic, fast-paced, start-up environment
Good inter-personnel skill especially with students, faculty, and staff
Experience living, working, or studying in an international, cross-cultural setting, especially China and Asia
Project management, organization, and communication skills (oral and written) preferred
Ability to work in China
Fluency in both Mandarin Chinese and English
Position is based in Kunshan, China. Candidate should be available to occasional travel within or outside China. Some weekend and evening work will be required to support special events or coordinate with Duke University
