Description:
The ideal candidate will play a central role in keeping the business operations and activities on track and moving forward. Candidate must be detail-oriented, have exceptional communications skills, be flexible yet thorough and possess the ability to manage multiple tasks efficiently while working productively in a fast-paced, team-oriented environment. Candidate will support a senior level executive and their team. Candidate must possess poise under pressure and excellent judgment in regards to confidential information.
Job Responsibilities:
Responsibilities include but are not limited to:
Admin Skills:
- Administrative tasks include managing schedule, calendar, phone and email;
- Coordinate complex travel arrangements, including acquiring visas, booking accommodations, and arranging point-to-point transportation;
- Use sharp analytical skills to process, review, and follow up on all expense reports, purchase orders, invoices, and other company documents;
- Meeting preparation and arranging conference calls;
- making travel arrangements; submitting and tracking internal requests;
- coordinating meetings and group events; proofreading documents;
- and participating in key projects.
Language and other Skills:
- Language translation between English and Mandarin including spoken and written. Must be able to translate quickly and accurately;
- Act as liaison with other departments and outside agencies, including senior-level management;
- Ability to handle confidential and non-routine information;
- Experience working in a fast-paced environment a plus;
- Perform additional duties as assigned
Background Requirements:
- Exceptional written and verbal communication skills in English and Mandarin. Strong translation ability is key to this position with writing, proofreading, and editing skills. Able to quickly and accurately translate verbal meetings, discussions, and presentations.
- 5 years administrative or EA experience in a fast-paced, high-tech environment.
- Four-year college degree preferred
- Proven mastery of Office applications, including Word, Excel, PowerPoint and Outlook.
- Interest and experience in using technology to improve work efficiency.
- Experience interacting with all levels and departments within a company include working with external offices, domestic and international.
- Strong organizational skills, detail-oriented, and the ability to handle multiple priorities in a mature and friendly manner.
- Highly organized and pays meticulous attention to detail
- Discretion and diplomacy in regards to confidential information
- Take-charge attitude and the ability to work independently on special projects
- Excellent time management skills and a sense of urgency in meeting deadlines.
