Deputy admin manager/secretary
Position Description:
1) provide secretary/communication/feedback/arrangement/ practice support for the Chairman,
2) To provide administrative support to management and carry out a range of general day to day office administration tasks. Arrange the company’s administrative work, inspection and supervision
3) Serve as advocate & pioneer to ensure the company be providing healthy and safe working conditions to the employees and be complaint to all environmental regulations
Position Responsibilities:
1. work as secretary
1)management of the daily schedules, travel arrangements & itineraries, meeting arrangements including agendas, minutes and reviews.
2) Screen and prioritize incoming telephone calls/mails/emails; handle correspondence and telephoneenquires
3) Do translation, make expense claim, and fill all the important documents and other
relevant admin issues
4) Receive VIPs and develop a detailed program
5) Other daily administrative tasks as required.
2. Administration
- Control, analyze and monitor all administrative budget
- Lead the Admin teams to provide effective and efficient services
- Responsible for monitoring all office leasing, vehicles, insurance, office equipment and supplies purchased
- Assist in documenting and implementing company policies and procedures
- Responsible for Admin team Selection, development & retention
- Continuously improve and refine systems and processes related with admin management
-Periodically provide admin reports like monthly payment, etc., ensure all assigned reports or analysis generated accurately and timely
- Select, supervise and evaluate Admin. related vendors and 3rd parties.
- Organise enterprise activities (such as annual dinner party, ceremony etc.)
3. EHS
1) Establishes policies, programs, procedures & standards to provide healthy and safe working conditions throughout the organization's facilities and work sites.
2) Establishes policies, programs, procedures & standards to ensure the company’s compliance with environment protection requirements and/or other governmental or organization established standards.
3) Ensure the company's EHS strategy is implemented effectively within established budgets and the organization complies with all relevant regulations, laws, and standards.
4) Any other tasks as and when assigned by senior management
Position Requirements:
-College Degree or equivalent, with minimum 3 years administration management experience in multinational companies or JVs.
- Good leadership and people management skills.
- Good communication and influencing capabilities.
- Good ability to balance conflicting demands and meet deadlines.
- Good ability to liaise with internal and external partners both formally and informally.
- Working knowledge of Word, Excel, Power Point, etc..
- Organized and passionate.
- Effective problem-solving skills. Demonstrated ability to execute.
- Fluent English and major in English is perfered(must)
