The post belongs to Programme Management team within the Centre for Academic Affairs. The team plays a key role in delivering services related to programme development and quality assurance. Position holder reports to team leader of Programme Management.

Role overview:

1. Serve as secretary to university committees and working groups in drafting briefing documents, collecting paperwork to be scrutinised by committee, preparing agenda and minutes and follow-up actions

2. As assigned by Team Lead, support university and departmental program management, quality assurance, and professional accreditation initiatives

3. Establish and maintain a consistent system for managing documents, and versions of documents related to programme management, quality assurance and professional accreditation

4. Create and maintain systems that assist the team in tracking progress on team initiatives

5. Collect and format data, as required by the team, for use in documents

6. Coordinate with Registry the maintenance of accurate program data in the student information system

5. Develop and administer student surveys on module and programme evaluation

6. Assist with travel arrangements for external examiners and quality assurance visitors

7. Provide administrative support to the Team Lead, Programme Management

8. Perform other related duties as assigned

Personal Requirement:

1. University degree

2. Bilingual (English and Chinese) with excellent oral and written skills in both languages.

3. Attention to detail.

4. Excellent computer skills in using word processing, spreadsheet and presentation software.

5. Good interpersonal skills: ability to work independently and as part of a team

6. Demonstrated coordination skills to liaise with colleagues where work interests overlap

7. Ability to prioritize and manage time in a fast-paced environment

8. Ability to handle confidential matters expeditiously.
