JOB DESCRIPTION
The job of Purchasing Clerk is newly created role support the purposes of planning, organizing and supervising the comprehensive purchasing functions for the company in compliance with mandated requirements, overseeing daily activities including major purchases associated with opening and expanding vendor range, responding to inquiries regarding processes, bid status as well as renegotiating terms and conditions with existing vendors and service providers. The objectives of this position also include administering the purchase process for goods and service across that is required by various departments within the business
REPORT TO
This position reports to Purchasing Supervisor
ESSENTIAL FUNCTIONS
? Assist bidding process and contracts for vendor performance/compliance within established limits (e.g. prepare specifications, evaluate bids, recommend vendors, conduct bid meetings, etc.) for the purpose of securing items and services within budget and in compliance with regulatory requirements.
? Compiles data from a wide variety of sources (e.g. vendors, staff, public agencies, etc.) for the purpose of analysing issues, ensuring compliance with purchasing policies and procedures, and monitoring purchasing processes.
? Support all functions related to the purchase of materials and services for business.
? Maintains purchasing information, files and records (e.g. orders, vender files, etc.) for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines.
? Archive contracts with existing vendors in the business.
? Support required purchasing processes in order to support the business.
? Participates in meetings, training, workshops, etc. in order to conveying and gathering information required to perform the job
? Preparation of Purchase Request and issuing Purchase Order in accordance with company policy as required.
? Respond to inquiries from other department internally
? Liaison with vendors for monitoring their performance and guide them for better performance.
? Work for the department as a team (currently one purchasing specialist in the function)
OTHER REQUIREMENTS
? Structured and logical approach to resolve the issue
? University degree and similar qualification is preferred
? Good level of English Language skill
? Good level of communication skill (both written and oral)
? Good level of organisation and administrative skill
? Computer literate
