LOCATION: Beijing
POSITION GOALS:
To deliver high quality, efficient and professional administrative services to the Head of Investment Department in order to support a fast moving and dynamic international business and to provide a cooperative working environment within the office.
EMPLOYEE SPECIFICATIONS
- Enthusiastic, energetic and keen to learn
- Excellent interpersonal skills, dedicated, responsible, good team spirit
- Bachelor degree, preferably in a top level university
- Proficiency in oral/written English
- Proficiency in Microsoft Office Applications, i.e. Word, Excel, PowerPoint, Access, Outlook
- 3-5 years of relevant working experience in a multinational organization
DUTIES & RESPONSIBILITIES:
Provide superior administrative services
- Create meeting action lists and follow up independently with respective individuals to try to ensure all actions are completed in a timely manner.
- Provide support on the preparation of proposals and presentation materials for the department.
- Attend external business meetings when necessary, take meeting minutes and distribute to relevant person in time.
- Administer stationary supplies and make orders as necessary.
- Collect and submit expense statements for the team by the end of each month.
- Provide IPMP support as a member of the 'on the ground' support team.
- Assist with emails, letters, proposals, spreadsheets and other documents for the team.
- Make all travel bookings for team members in a timely manner and ensure that they comply with the firm's travel policy.
- Supports the Connect/Peoplesoft Contents Manager throughout the year by providing and updating any requested documentation for posting to the Administrative page.
- Responsible for all e-based submissions which include updated project track records, project data, etc.
- Proactively manage all administrative tasks for all members of the team (i.e. expense claims / travel and meeting arrangements etc.) as measured by qualitative feedback on initiative from team members to direct manager.
Contribute to the growth of company
- Develop, document and distribute internal and external best practice. Provide instances.
- Assist team member on marketing team projects in the aspects as required by manager.
- Assist with the creation of the department / managers employee survey action plan.
- Assist regional as well as local initiatives as required by manager.
- Complete employee satisfaction survey before the final date.
Meet assigned financial targets
- Draft and follow up monthly Debit Note, chasing for outstanding payment and assist to achieve accounts receivable reserved and ensure total receivables not averaging more than 60 days outstanding throughout the year.
- Assist Team Leader on controlling team Administrative Costs in respect of Stationery/Travel and other relevant sectors to meet reasonable operation budget.
