Center Operations Supervisor

Position Overview:

Disney is looking for Operations Supervisors (OS) to manage the reception, Clubhouse and general center operations for the Disney English Language Learning centers in Beijing including following proper internal control processes of cash and bank management. The OS will ensure a strong first impression of the Disney English Language Learning Center to interested and enrolled children and their parents. This individual manages the Center's Front Office, Clubhouse and cleaning staff, ensures that the day to day finance operation is running smoothly and coordinates the Center Calendar.

The position reports into the Center Manager and Regional Accounting Manager.

General Duties and Responsibilities:

Center Operations:

· Training and management of the Club House Administrators to ensure all policies and procedures are being followed.

· Training and management of the Front Desk Administrators to ensure all policies and procedures are being followed.

· Training and management of the cleaning staff.

· Monthly site check and submission of any maintenance requests.

· Place bi-weekly order from the warehouse and arrange any items for delivery.

· Place order for related center staff items: business cards, costumes, and staff photos.

· Manage center inventory of learner, trainer and promotional materials.

· Oversee installation and de-installation of seasonal holiday decorations.

· Ensure sales and discount documentation is correct to pass to regional office.

· Responsible for overall site quality and cleanliness; scheduling of regular maintenance and deep cleaning.

· Responsible for filing account requests and updating existing records for all staff-related systems: time clock, mailing lists, employee records, system accounts.

· Center-level main point of contact for IT team related to systems and functions related to Operations.

Reception Desk:

· Provide a warm welcome for all visitors to the center including prospective and enrolled children and field all in-bound telephone calls.

· Participate in outside of classroom academic, marketing and center social events as needed.

· Open and close the center for the day, perform related tasks.

· Responsible for all incoming mail and packages and ensuring that they get to the appropriate recipient.

· Confirm attendance for all young language learners and contact parents in the case of learner absence and record in the center system.

Cashier Function

· Collect tuition fee and deposit from customer and issue receipt/ invoice to customer.

· Refund customer tuition fee and customer deposit.

· Bank deposit and cash on hand management.

· Petty cash management and staff reimbursement.

· Maintain related payment/ refund information in CRM system.

· Daily/ Monthly cash reconciliation and cash flow report.

· Custodian of bank draft, receipt and Fapiao.

· School Inventory management and stock item reconciliation.

· Orders supplies as directed by the Center Manager for operations of the center.

· Tax affairs.

Job Qualifications:

· Experience managing a team.

· Service industry (or related) administrative experience.

· Strong sense of customer service.

· Pro-active and detail oriented with the ability to be flexible

· Ability to multi-task in a fast-paced and dynamic environment.

· Excellent communication and interpersonal skills required.

· Able to work under pressure and can accept flexible working time including weekends and evenings.

· Strong English language skills

· Very Strong computer skills, especially in MS Office.

· Passion for working with children and possessing a strong team spirit
