Post Specifications
General Description
To assist team in delivery of good academic services, management of student records, module and programme data and associated timetabling work, implementation of student information system and daily operations of assessment work, and projects related to improving Registry's work.
Main Responsibility and Accountability
Your main duties will be:
1.Provide services to incoming students and/or parents at the Registry Reception desk, including arranging appoints, answer enquiries related to academic issues,
2.Assist to develop and maintain database of student enquiries and produce FAQ for internal and external use, and escalate issues, as appropriate, to supervisor or other colleagues for resolution;
3.Collaborate with colleagues from different teams in terms of distribution of academic documentations applied by students and administration of programme transfer, suspension and withdrawal processes, etc.;
4.Assist in maintaining and updating student records, and reporting or exchanging of data for various validation/accreditation or service purposes;
5.Assist in collecting and updating academic data in system by liaising with departments, such as programme structure, grouping structures and timetabling, etc.;
6.Support the implementation of Student Information System through preparation of data, development and documentation of business processes, and provide support service to users of the system;
7.Assist in planning and organizing of the examinations or assessments, including liaison with departments for assessment issues, administrative duties with regards to exam process, maintenance of assessment records and logistics arrangements for external examiners, etc.;
8.Other responsibilities, suitable to the level of position, as assigned by the Team Leader or Head of Registry.
Personal Requirements
Essential:
- University degree
- Excellent oral and written skills in English
- Excellent communication skills
- Ability to maintain high level of accuracy, even when producing work to tight deadlines
- Demonstrated coordination skills to liaise with colleagues where work interests - verlap
- Ability to prioritize and manage time in a fast-paced environment
- Ability to handle confidential matters expeditiously
- Commitment to service and collaboration
Desirable:
- Experience of working within a Higher Education environment
- Experience of working in an international organization
