Post Specifications
General Description
To maintain accurate and updated student records, marks and other academic-related data in relevant systems, to undertake various student statistics reporting, data exchange reporting, to provide strong support to the timetabling of teaching work, and to support the operation and development of student systems and records.
Main Responsibility and Accountability
Your main duties will be:
1.Input and maintain student records and academic data in student information system (SITS), virtual learning environment (ICE) and e-Bridge, including student grouping allocations, class lists, programmes and modules, marks etc.;
2.Report, exchange or create data and prepare paperwork as appropriate for various validation/accreditation or service purposes, including data reporting to government organs, regular data exchanging with UoL, data creating into academic records for various committees and documentations for students, etc.;
3.Maintain timetabling data and make timely arrangements by timetabling software or techniques for a range of academic activities within an annual cycle;
4.Establish data security policy and documentation to protect personal or corporate data, and manage various types of user authorities in student information system (SITS) and ICE;
5.Provide good service for student information system users, including responding to enquires from students and staff while they have problems with system, supporting for system training sections to staff, etc.;
6.Maintain well the existing systems and techniques, and enhance implementation of the system by developing new functions in response to requests and needs from around campus;
7.Provide service for system-related project or consultancy trainings, support for maintaining the project planning, chasing project progression, communicating with project team members from different departments and system supplier and document relevant technical files and data coding document, etc.;
8.Other responsibilities, suitable to the level of position, as assigned by the Team Leader or Head of Registry.
Personal Requirements
Essential:
1.Bachelor degree, preferably in IT or information management related fields, plus 2 years of relevant work experience, or Master degree
2.Excellent oral and written skills in English
3.Excellent communication skills
4.Experience in system development, data or records management and project management
5.Ability to maintain high level of accuracy, even when producing work to tight deadlines
6.Commitment to service and collaboration
Desirable:
1.Experience of working within a Higher Education environment
2.Experience of working in an international organization
3.Experience in the operation or management of a student records system
