Title: Admin/Office Manager - Shanghai, China
Summary/Objective:
The Admin/Office Manager is responsible for management of the daily administrative operations of our offices in China. This role will assist with monthly financial and operational reporting to the headquarter in the USA. S/he will design and implement effective internal and cost controls to ensure compliance with corporate policies and standards. This position reports to the Finance Director at the USA Headquarters. Some international travel is required.
Essential Functions include, but not limited to the following:
This is an Administrative Operations role, and its responsibility is to ensure that the entire WOFE operations and Staff follow DP Technology standards, policies and best practices.
? Facilities and day-to-day operations:
o plan and coordinate overall administrative activities such as reception, security, maintenance, mail, archiving, cleaning, catering, waste disposal and recycling
o manage office environment and facilities to ensure they are attractive, clean, and comfortable
o assist in formulating local Admin policies and find the most efficient ways to implement them
o negotiate the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions
? Accounting knowledge and experience:
o work closely with outsourced accounting services to ensure that both Chinese and USA GAAP accounting standards are compliant
o review new and unusual transactions to ensure that they are recorded properly
o prepare monthly financial reports, payroll expenses, and WOFE bank account reconciliations
o assist with bi-annual financial audits, budgeting and forecasting processes
o keep track of staff expenditures, review and approve staff expense reimbursements
? submit approved reimbursements for final payment
o evaluate and approve expenses related to general office operations
? Human Resources function in general:
o support managers in recruiting, hiring and onboarding of new employees
o keep confidential personnel data organized and maintain employee records
oprovide general employee support, work closely with HQ HR department as needed
oassist managers in terminations and ensure appropriate handling of final payroll disbursements
? Payroll process management:
o oversee outsourced payroll services for offices in China, Korea, and India (25 employees total)
o calculate monthly sales commissions according to predetermined rules by the Sales Manager
o analyze monthly payroll ledgers and reconcile those as needed
o review and manage PTO schedules for Staff members
? Administration and collaboration with other departments:
o consolidate, organize and safeguard third party contracts
o assist local managers/directors in research and special projects
o understand business performance indexes, assist managers in review process
o liaise with Finance office headquartered in the USA for all financial management and reporting purposes
? Leadership and coaching of Admin staff and in general:
o coach and help develop team members
o motivate and inspire vision of the company objectives
o lead by setting a good example of high ethics to all others

Competencies:
? At least 10 years of working experience in accounting and finance is required in roles of increasing complexity and responsibility.
? Ability to work effectively without immediate supervision.
? Excellent analytical and technical research skills and ability to make sound business decisions in complex and ambiguous business environments.
? Expert user of M/S office tools.
? Possess excellent communication and interpersonal skills. Ability to drive change confidently, rapidly and effectively by influencing behavior, even in the absence of clear formal authority.
? Must be proficient in spoken and written Chinese and English languages.
? Demonstrate high level of integrity and business ethics.
? Must be able to handle sensitive information appropriately and maintain confidentiality.
