职位描述
To provide high level administrative support across all functions of sales office through effective sales support, logistics and finance processing, and office administration.
KEY ACCOUNTABILITIES
Responsibility Area Description
Sales Support (50%)
- Provide positive, professional and proactive assistance to Sales team and customers as the first point of contact.
- Managing POS by quarterly stock take, and
- Monitor and reconcile sample stock.
- Updating relevant information including sales, credit notes, etc. in AX.
- Update and maintain sales reports and administration spread sheets.
Logistics (20%)
- Coordinate direct order processing, by:
? Generating daily direct orders and sample stock orders,
? Arranging wholesaler delivery time slots,
? Liaising with all direct customers in relation to stock levels and order deliveries; and
? Responding to order enquiries and troubleshoot problems.
- Assist with stock control and logistics, by:
? Assisting with the reconciliation of stock weekly and at the end of the month in warehouse,
? Maintain service and stock failures and ullage records,
? Provide logistics reporting as required.
Finance (20%)
- Issue the company’s invoice and verify supplier VAT invoices.
- Send VAT invoices to customers when required.
- Ensure financial documents are physically and electronically stored appropriately.
Office & Operations
Administration (10%)
- Provide positive, professional and proactive reception duties for the office and be the first point of contact for all incoming calls.
- General office administration – printing, photocopying, labelling, laminating, filing, stationary ordering, organising couriers and mail collection.
- Provide administrative support and assistance for Management, Operations and Sales team, by:
? Coordinating travel, accommodation and conference arrangements, and
? Assisting with the facilitation of projects and initiatives as required.
- General office upkeep and maintenance.
Health, Safety and
Environmental Compliance
- Comply with all Health, Safety and Environmental (HSE) legislation, Regulations and Codes of Practice relevant to your work, as well as Delegat Workplace Health and Safety (WHS) policies and procedures.
- Take care to ensure your own health and safety at work and that acts or omissions by you do not adversely affect your own health and safety or that of any other person.
- Only undertake activities and/or operate plant and equipment that you are trained, competent and authorised to perform or use.
- Maintain up to date knowledge of workplace health and safety matters relevant to your work.
- Identify, eliminate or minimize hazards, and control risks as far as reasonably practicable to mitigate potential for harm. Immediately report and accurately record any incidents (including near miss).
- Contribute to establishing a positive and proactive safety culture within the business.
- Consider the long term sustainability of all activities and endeavour to reduce, reuse and recycle resources in line with Delegat policy.
