Position Summary & Requirements:
This position is responsible for the professional and efficient managing of visitors, telephone calls and messages, as well as a variety of receptionist and administrative duties and office services.
College degree or above, English CET-4. Basic office computer skills.
Working days/hours: Monday – Friday, 9AM-6PM. Lunch hour: 12:00 noon – 1PM.
Dress business uniform during working hours.
Essential Functions and Responsibilities:
1.Receive phone Calls Welcome visitors :Promptly, accurately, professionally and courteously receives 100% of all telephone calls and visitors, patient and professional about phone calls and visitor inquiries. Can direct or record relative messages and ensure the passing of message to related persons. Have the knowledge of using all features of the telephone system.
2.Office Maintenance : Responsible of the maintenance of reception area. Assist to maintain conference rooms and office environment. Make sure that reception area is always clean, tidy, documents are well arranged. Keep office keys in good and safe place. Always keep the main door shut. Make sure that the reception station is staffed 100% of working hours.
3. Couriers :Responsible for all local and international in and out couriers and posts. Keep in touch with courier suppliers, check monthly bills and make sure the payments are made on time. Signs for deliveries when necessary and notify recipients.
4. Office Supplies ordering and inventory control: Responsible for office stationery order and office supplies order, keep in touch with suppliers, check monthly bills and make sure the payments are made on time. Keep stationery and supplies inventory and ensure that common areas are equipped and stocked with necessary stationery and office supplies as needed.
5. Travel bookings : Responsible for booking appropriate air tickets and global visitor’s hotels within company budget upon traveler’s request.
6. Admin PR in Ariba : Raise PR in Ariba system for all three division and submit to FIN every month, including: office rental, renovation, stationery and office supplies, couriers, car rentals, conference call fees, cleanning lady salary, etc.
7. Printing material ordering: Order name cards, envelopes, paper bags for office.
8. Vendor maintance :Keep in touch with all admin vendors.
