Language Centre (LC) Staff Affairs Support Officer

Main responsibilities may include:

1. Be responsible to guarantee the smooth application formalities for the new foreign staffs’ visa documents, including working permit and invitation letter from SIP government.

2. Be responsible to guarantee the smooth application for the existing foreign staffs’ (including their family members) renewal formalities for the residence permit renewal from Police station.

3. Be responsible to guarantee the smooth application for the new foreign expert certificate and renewal formalities from Foreign Expert Bureau and from SIP government.

4. Arrange the accommodation, pick-up service, hotel reservation and answer the questions for all new LC staff.

5. Support with inquiry and Induction Package preparation for new entrant staff. Arrange the physical examination at Health Centre.

6. Guide the staff with documents preparation for transfer money.

7. Maintain the online database specifically foreign affairs related and providing data statistics, and report to higher authorities.

8. Get familiar with national relevant foreign affairs policies and keep closely liaise with authoritive Division or Bureau. Give public notice to the latest regulation or policy to staff.

9. Support the Centre with staff recruitment, such as arranging interviews, answering questions from candidates and booking job fairs.

10. Serve as Receptionist and deal with inquiries from new staff.

11. Provide administrative support to new staff induction programmes.

12. Provide administrative support to the Centre’s professional development and staff training.

13. Undertake other tasks and duties as assigned by the Centre or University.

Skills and Specifications:

1. Good command of both oral and written English and should be an effectual communicator verbally as well as through writing skills in English.

2. General knowledge of employment laws and practices.

3. Proficiency in using of Microsoft office and able to present information in forms, tables, and spread sheets.

4. Able to deliver effective results, meet tight deadlines and targets.

5. Excellent interpersonal and communication skills.

6. Evidence of the practice of a high level of confidentiality.

7. Ability to operate under immense pressure.

8. Solid awareness of cultural diversity in an international institution environment.

9. Experience in working with staff at different levels of an organization.

10. Excellent team player.

Education and Qualifications:

1. Bachelor’s degree in Human Resource Management, Admin Management or related field.

2. Two plus years of experience in Human Resources or administrative service positions.

3. General knowledge of employment laws and practices.
