Duty & Responsibilities:
? Maintain Director’s appointment / travel calendars and organize business travels, including arrangement of hotel accommodation, ticketing, travel document application, etc.
? Prepare and submit expense statement and purchase stuff as requested.
? Apply visa and relative travel documents for internal staff.
? Exercise sensible personal judgment and act with tact to greet and screen visitors, incoming calls. Business contacts include persons at all levels within the organization, industry and community.
? Coordinate the communication between Directors and various departments and/or individuals with providing or obtaining necessary information and liaise with inter-companies.
? Assist in the preparation for quarterly review and budget meeting in a timely and efficient manner and ensure all the reports and meeting materials are submitted on time.
? Assist Directors to manage routine email correspondence with drafting the response appropriately.
? Prepare correspondence, reports, presentations, ect. as requested.
? Collect, summarize and compile corresponding business data and prepare the relevant report as assigned.
? Handle confidential information, files, materials to ensure information security and for proper use.
? Establish and maintain a proper filing / database system for easy retrieval and accurate documentation.
? Arrange ticketing, accommodation and entertainment for company visitors including inter-companies and customers.
? Perform comprehensive administrative duties in a timely, efficient and appropriate manner, including but not limited to accepting guests, setting up meetings and conferences, improving office work environment, organizing and/or coordinating events like annual dinner, outing, CSR and Recreational Club activities.
? Coordinate and participate in the project-based work as requested
? Other duties assigned by the superiors.
Qualifications and skills
? Bachelor’s degree or above
? Minimum 3 years relative working experience in assisting senior management in the organization
? Good command of English both in oral and written
? Good MS Office, communication and teamwork skills as well as detail-oriented
? Ability to handle confidential information and multi tasks
? High sense of responsibility and can work under pressure
