Office Assistant 办公室助理 (1名)
办公室助理会辅助运营协调员的工作,协助不同部门的合作。 主要包括:
1.协助日常办公,包括为职工,学生和家长提供服务,来访登记,邮件处理和复印工作等
2.紧密联系各主要办公室,教师和住宿管理人员
3.记录日程安排,汇报学生健康问题
4.协助管理车辆使用,学生接送等相关工作
5.定期检查医药设备的储存,管理项目设备的借还

Position Summary
The Office Assistant supports Duke TIP administration, instructional staff, residential staff, students, and parents. The Office Assistant is supervised by and works collaboratively with the Operations Coordinator to establish and maintain the on-site office. The Office Assistant is a primary contact for parents who call the on-site office. The Office Assistant arrives with the administrative staff several days before the program begins.
Qualifications
The Office Assistant must be bilingual in Mandarin and English. The OA will ideally be a native Mandarin Speaker. Prior to beginning employment, applicants are required to have successfully completed a minimum of one year of college (2 years for some programs.) Previous office experience is preferred; staff experience with a Duke TIP summer program or similar residential program for gifted youth is helpful. Excellent organizational and communication skills, attention to detail, and the ability to work independently are required. A working knowledge of spreadsheet applications (i.e., Microsoft Excel and Google Drive) is needed. Applicants must possess a genuine interest in the academic, social, and emotional growth of adolescents, exhibit maturity and a positive attitude, and be willing to serve as a role model for students.
General Expectations
- Abide by policies and procedures set forth by Duke TIP and the host institution.
- Support administrative decisions and the overarching organizational mission.
- Demonstrate exemplary behavior as it relates to being a representative of Duke University, Duke TIP, and its partners.
- Arrive on the contracted start date at the specified time and location, attend all designated orientation sessions and scheduled meetings during the term, and perform all contractual duties at the assigned times.
- Maintain professional relationships with all students and staff members.
- Enforce all student rules fairly and consistently.
Understand that this position requires a full time commitment. Holding other jobs or taking classes during the contracted time period is prohibited.
- For each night spent in program housing, staff members must return by the midnight curfew and reside in their assigned rooms.
Specific Duties
Office Management
- Assist in setting up the on-site office with the Operations Coordinator.
- Maintain office hours in accordance with program schedule and student needs.
- Maintain a professional office environment.
- Ensure smooth and efficient functioning of the office as a service to staff, students, and parents.
- Maintain a visitor’s log and check identification of visitors.
- Maintain the office log and offer suggestions for changes or improvements.
- Create forms and signs as needed.
- Collect and distribute incoming mail with assistance from other staff as necessary.
- Serve as a resource to parents or other callers who have concerns or are seeking information about the program.
- Monitor use and return of program equipment and supplies.
- Ensure that medical supplies are adequately stocked at all times.
- Assist Operations Coordinator with end-of-term responsibilities. Team Membership
Team Membership
- Work with administrative team members to produce and distribute daily and weekly staff schedules.
- Assist in coordinating evening and weekend activities as necessary.
Administration
- Read and review training materials sent by Duke TIP before the program begins.
- Assist in training residential staff on office duty. Report personnel concerns directly to Operations Coordinator in a timely manner.
- Facilitate communication between administrative, instructional, and residential staff.
- Attend staff meetings as needed.
- Assist in documentation of routine illnesses, ongoing health problems, and student emergencies.
- Assist in scheduling of health appointments and with medication duty.
- Manage staff use of office copier or local copy service.
- Assist Operations Coordinator in coordinating the use and refueling of vehicles, maintaining rental vehicle records, and reporting all vehicle problems or damages immediately according to main office protocols.
- Assist Operations Coordinator in creating airport schedules for student arrival and departure days and assist with training Teaching Assistants on airport duties.
- Make arrangements for special events as needed.
- Complete program and staff evaluations at the end of each term.
- Perform all other duties as assigned.
