职位描述

Job objectives:

To assist Coordinator with efficient management and functioning of the office administrative support to Satair BJ office. Furthermore, support on marketing activities as well as provide personal assistance to Managing Director wherever relevant.

Primary responsibilities :

Office Administration Assistance to the Coordinator (50%)

Provide assistance to Coordinator on various office administrative activities including but not limited to property management, office administration management, travel management, IT maintenance, management, company license management etc.

Property Management

* Manage office materials supplies including stationeries, company letterheads, office supplies and reordering of business cards per established templates. Perform periodic inventory checks. Organise supplies for easy retrieval.

* Detect, report and follow up issues on equipment to vendor/IT/facility and co-ordinate with relevant process owners to get these equipment repaired or replaced on time and on quality.

* Randomly check to supervise smooth operation of office equipment/systems (such as photocopier machines, projectors, video conferencing system)


Office Administration Management

* Manage service & maintenance contract, including but limited to market analysis on cost, KPI proposal, price negotiation, service level supervision.eg. copier machine, travel agent, venue, event companies etc.

* Greet visitors and determine whether they should be given access to specific individuals.

* Answer phone calls and direct calls to appropriate parties or take messages.

* Sort, distribute and open all non-confidential mails for the respective departments.

* Record all outgoing mails, parcels, documents including management of document couriers.

* Read and analyse incoming mails, faxes and reports to determine their significance and plan their distribution.

* Order and post calendars, greeting cards, name cards etc.

* Prepare reports, memos, letters, presentations and other documents, using word processing, spreadsheet, database, or presentation software.

Travel Management

* Be responsible for travel management of company visitor and travelers, including but not limited visa application, flight, accommodation and transportation management for company. Coordination and communication with both internal and external stakeholder wherever relevant, such as Satair Group corporate offices and governmental agencies.

IT Maintenance

* Server and EDP maintenance

* Procurement of EDP in accordance to guidance from IT

* New comers’ IT device purchase, setup, coordination etc.

Marketing Support (30%)

* Support on marketing activities including customer events, seminars, air shows, exhibition and industry events.

* Support on marketing materials. * Support on external communication activities, such as newsletters, magazine, company website, and social media (e.g. WeChat)

* Coordinate with Airbus China marketing and communication on marketing and communication related tasks if needed;

Managing Director Support (20%)

* Support MD on daily administrative activities assigned including travel, calendar management, meeting set up etc;

* Support MD on delegated management tasks such as leave approvals via ISynergy;

* Prepare power point slides for MD's business meetings, all staff meetings;

* Join some of MD's business meetings and prepare meeting minutes if needed;

* Support MD for China strategy paper
