BASIC FUNCTIONS
The Direct Import Account Specialist of Horizon Shanghai Office handles the Direct Import Account shipment arrangement under the supervision of ASO Supply Chain Manager. The position holder maintains the order and shipment records for direct import customers, coordinates the shipping activities from suppliers directly to customer designated destination. Follow the SOP of customers, work closely with China suppliers and the freight forwarder which is usually designated by customers, make sure the orders are shipped in compliance with all the customers’ requirements.
PRIMARY RESPONSIBILITIES
SOP compliance: Follow customers’ SOP in the whole shipping arrangement process, such as ship within shipping window, ship correct quantity, follow the packaging requirement, etc.
Educate new supplier on DI process and requirements.
Problem solving: Follow up with customers’ requirement timely and solve problem effectively.
Coordinate suppliers to deliver on time, solve the problems proactively which may happen during the whole shipping process.
Timely response and follow-up: Communicate with SBUs effectively and efficiently in case there is any requirement from customer that cannot be met.
Cross-team communication: Work with ASO QC team to arrange pre-shipment inspection for every DI shipment. Provide the inspection report to customers on request.
Operation: Cooperate with forwarder and suggest consolidation plan, which works best for SBUs. Optimize container utilization and inland transportation method for cost-saving purpose. Ensure the FCL containers are stuffed according to customers’ guideline, LCL are delivered in accordance with customers’ packaging requirement.
Work with 3rd party inspection company and coordinate with suppliers for each pre-shipment inspection. Complete the request submission on time to avoid any possible fine.
Work with 3rd party test firms to ensure samples are submitted on time and test report received on time. Maintain good relationship with external and internal parties.
Paperwork includes but not limited to:
Maintain up-to-date order and shipment records for easy tracking.
Place booking with forwarder, receive, check and forward the shipping order to suppliers. System update. Be responsible to create the accurate shipping documents and submit to the correct parties in a timely manner for customs clearance and avoid any possible fine. Ensure original OBL/FCR are picked up from forwarder and sent to SBUs.
Shipment status track for SBUs.
POSITION SPECIFICATIONS
Bachelor degree, good communication skills, strong sense of responsibility, detail oriented & a good team-player.
