Job Description: Senior Project Manager/Business Development
Overview: Project Management(say Chinese/English is essential)
A Project Manager is the person who is responsible for the successful planning and execution of any project. During this undertaking he is representing Creative Technology and must behave responsibly and professionally at all times.
The Role starts from the very first communication with a Client either via a phone call or attending a production meeting.
The Project Manager must also assume authority and responsibility to run a number of projects simultaneously and therefore he must posses a combination of skills. The project manager is accountable for the success of the project, but will have reserved levels of management responsibility.
He may have to solve personal conflicts in the workplace and on site, detect risks all throughout his projects and therefore must have excellent management skills. He must also be flexible, particularly with his hours of work, to achieve the best results and a successful project.
Overview: Business Development
Identify new client and business opportunities, to arrange meetings and present company credentials. Follow up meetings with existing clients to further develop relationships.Information gathering on upcoming exhibitions and events.
Responsible to: Managing Director, Creative Technology
Responsibilities:
1 Pickup and answer incoming calls remembering to be professional and courteous at all times.
2 Listen and take an accurate brief and or provide advice with a possible technical solution and idea’s.
3 Generate and send accurate clear and professional quotations without linguistic or financial errors.
4 Follow up and negotiate with the Client to secure and win the project.
5 Make decisions both small and large, in such a way that risk is controlled to ensure a successful event.
6 Co-ordinate and arrange product demonstrations for Clients either at CT or other locations.
7 Co-ordinate, reserve and book technical crew with the right skills for the respective project.
8 Co-ordinate, reserve and book sub-hired equipment when required, negotiating terms with suppliers to ensure maximum profitability.
9 Co-ordinate, reserve and book transportation, land, air or sea where necessary for all project related equipment and crew.
10 Generate accurate project related paperwork, Crew booking sheet/s, Warehouse job file/s, Risk
11 Assessments and Method statements and on occasions On-site schedules.
12 Ensure the correct documentation is enclosed in the “Site Bag”.
13 Observe health & safety procedures both at work and on site.
Qualifications:
1 Preferably industry related person with good organizational skills; excellent interpersonal skills and computer literacy.
2 Flexible approach, particularly with hours of work.
3 Prior experience with project management methodologies.
4 Proactive verbal and written communication skills, including good, active listening skills.
5 Must have previous experience on a variety of projects.
6 Strong organization skills; capable of operating independently with minimal direction.
7 Strong people management skills; as the position requires managing technical freelance crew and staff.
8 Ability to interact with a wide range of individuals in a wide range of situations which may require tact, diplomacy, and discretion.
9 Extensive computer skills in all MS Office applications, including WORD, EXCEL, Outlook, VISIO, ADOBE Acrobat and CAD basics.
10 Decisiveness and good judgments required for sound planning.
11 Well-developed organization / time management skills in order to multitask.
12 Ability to prioritize and escalate tasks appropriately.
13 Ability to both lead and be a part of a team.
Duties: Onsite
1 Provide Client liaison when required.
2 Carry out quality control, ensuring a high standard of preparation has been achieved.
3 Ensure Health & Safety inductions are carried out and safe working practices are adhered to.
4 Carry out on site H&S inductions if not done by the Client.
5 Report all onsite hardware and technical problems and or issues that may occur so that a high level of service and quality can be maintained.
Duties: Administration
1 Inputting and updating of quotations and project information onto Rental Point.
2 Inputting and updating of the Freelance Crew Diary.
3 Creating new crew booking sheets per project and saving them in the correct place on the CT Server (Project Folder system).
4 Creating and completing Warehouse cable sheets on Rental Point.
5 Generating sub-hire purchase orders on Rental Point and either emailing (PDF), faxing them to the Supplier.
6 Generating Freelance crew purchase orders on Rental Point and either emailing (PDF) or posting them to the freelancer, including the crew booking sheet.
7 Generate and create a project related Risk assessment and a method statement, convert to PDF and save them in the correct place on the CT Server (Project Folder system).
8 Compile all project related documents for the clear plastic “On Site Job Folder”, hand to the warehouse admin co-ordinator.
9 Generate final project invoices and occasionally credit notes.
10 Check & approve matched Supplier and Freelancer invoices with purchase orders raised, hand back to Accounts.
11 Archive and box all documentation on completed projects as per Project Folder system.
Other Duties: Callout
1 Be the first point of call for either the Client and or Technical operative (during business out of hours and including the weekend).
2 Arrange & co-ordinate the warehouse callout Engineers.
3 Arrange & co-ordinate transportation for on site extra’s and or faulty kit replacement.
