Job Overview:
Describe the purpose of this job and why it exists:
Key responsibilities include:
1. Support Core R&D Department
Administrative assistance to the department leader, anticipating needs and taking appropriate action to effectively manage daily responsibilities (e.g. calendar, admin, travel, meetings).
Similar, but less intensive, administrative support to other members of the group. For example, provide basic admin support to project team, such as travel arrangement, hotel booking etc and prepare necessary paperwork for project team
Communications with leaders' supervisor, peers and subordinates clearly, politely so that work is effective done and relationship is well nurtured.
Create expense report for leaders based on different cases
Make file system for leaders
2. Pacific Area Core R&D Administrator
Being able to work with systems / processes
Deeply understand internal control and security requirements.
You will have access to sensitive and confidential information and must be able to maintain the confidentiality.
Education/Certification Requirements:
Bachelor degree
Qualifications:
Good command of English in speaking, writing, reading and listening
4+ years of experience as Administrative Assistant
· Effective interpersonal skills and a team player.
· Self-directed
· Good organizational skills
· High proficiency in multiple computer programs (Microsoft Word, Outlook, PowerPoint, Excel)
This role requires high energy, a positive, can-do attitude, excellent attention to detail, follow-through skills, the ability to multi-task and the flexibility to adapt to rapidly changing priorities. Good judgment, professionalism and the ability to maintain confidentiality are critical.
Goals/Competencies:
List examples of goals that would be typical for this job:
Review the calendar regularly. Try to re-schedule meetings as soon as conflicts occur with a professionally note (apologize and explain why re-schedule)
Schedule meetings with lead time in anticipate travel or run-over time.
Prepare travel document with clear instruction about what, who, where and how to contact leader and OP in case of problems
Schedule meetings with clear objective or agenda and time. Avoid un-necessary update or re-schedule.
List the global and functional competencies that are most critical for this job:
· Initiative: You are expected to identify and manage work independently, to take initiative and responsibility for most administrative needs and opportunities.
Interpersonal Effectiveness: excellent communication skills in both English and Chinese. Help leaders to build and nurture strong relationship internally and externally.
Teamwork: contribute to team outputs, cooperative and committed to Core R&D team goals
Learning: constantly look for opportunities to improve individual and team performance
