POSITION: Receptionist

REPORTING TO: HR Manager

RESPONSIBILITY: To provide a friendly, professional telephone and front-desk service to internal and external customers and clients, and deliver efficient and accurate document processing and administration support as required.


AREAS OF ACCOUNTABILITY:

1. Greeting and assisting clients, guests and staff
1.1 Greeting clients and visitors, providing them with appropriate drinks, notifying appropriate parties of their arrival.
1.2 Handling enquiries
1.3 Taking messages if staff not available to take the call & pass the message on
1.4 Keeping track of each staff member's daily whereabouts, ensuring each staff member complete the “Sign Out” sheet when they leave the office and on their return.

2. Efficient operation of the switchboard
2.1 Prompt answering and forwarding of all calls in accordance with Cockram procedures
2.2 Programming and maintenance in accordance with Operators Manual

3. Office Equipment, Printer, Fax Machine, & Photocopier
3.1 Making sure all printers, photocopiers and faxes are full of paper each day.
3.2 Photocopying, sending and receiving/distributing faxes, as required.
3.3 Making sure that all office equipment is operational and contacting the maintenance agent for any problems.

4. Stationery and Office Supplies
4.1 Composing a list of commonly used stationery and checking the list on a regular basis to make sure that there are adequate supplies of stationery.
4.2 Maintaining a state of tidiness and easy access to the stationery cupboards.
4.3 Checking the cupboards in kitchen regularly and making sure that there is adequate supply of tea, coffee, milk, sugar, etc.
4.4 Checking the fridges in the meeting room and making sure that there is adequate supply of beers and soft drinks.
4.5 Making sure the coffee machine is operational and contacting the supplier for any problems.
4.6 Checking water in the coffee machine twice a day, purchasing coffee bean from the supplier when necessary and making claim form for payment.

5. General Administration Works
5.1 Managing and organize pick-ups of local, national and international couriers.
5.2 Sorting and distributing all hand delivered mail and packages to appropriate site/staff member
5.3 Organizing name cards for staffs
5.4 Liaising with Travel Agent and Hotels for organising travel and accommodation arrangements for visitors when required.
5.5 Organizing meeting room when required
5.6 Reconciling monthly bills for airline tickets and hotels, stationery, etc. and making claim form for payment.
5.7 Checking accumulated mileage in VIP card of the airline company for GM and CM after they travel by air.
5.8 Any other general administrative tasks that may be assigned to you.



PROFESSIONAL QUALIFICATIONS:


EXPERIENCE:


SKILLS AND ATTRIBUTES:
1. Sound working knowledge of Microsoft Word, Excel, and email.
2. Ability to type with a minimum of 50 words per minute.
3. Possess good written and oral English communication skills (Minimum CET-6).
4. Possess a polite and courteous telephone manner.
5. Ability to work under minimal supervision and (at times) under pressure.
6. Ability to quickly comprehend and perform job request to a high standard.
7. Have a good working knowledge of most office technology including facsimiles, photocopiers, binding equipment, computers and telephones.
8. Well organised.
9. Hands on team player. Support and back up other staff members and perform a range of duties from routine to complex.
10. Flexibility with regard to varied workload and constant deadlines.
11. Strong interpersonal and personal skills:
? Being reliable, trustworthy and dependable in performing the above tasks
? Accurate with good attention to detail
? An ability to work effectively in a team environment
