Key Activity 1 – Daily Operate and control of export for dry and liquid business

Approx. % time

- Receive shipping orders from customers and evaluate the intact of the orders;

- Check associated quote in IT system;

- Check tank availability;

- Check space availability;

- Confirm order with customers;

- Create job in IT system;

- Logistics plan with various parties whilst update tank plan in IT system;

- Coordinate with fleet controller to allocate tank to the job;

- Draft and/or collect shipping documents and pass them over to concerned parties;

- Update job information in system;

- Update job costs in system;

- Evaluate and approve extra costs if any and get account manager informed to recharge extra cost;

- Draft and issue InterBulk bill of lading;

- Prepare SSA and related documents and keep overseas’ agent posted;

- Inform account department to bill customers.

Key Activity 2 – Interface with customers

- Keep close work with account manager to understand the background and history of customers;

- Be an interface with said customers and keep daily communication with them;

- Keep a profile to record operational requirements for each customer.

Key Activity 3 – Management of Overseas’ agents and InterBulk bill of lading

- Be an interface with overseas’ agents for export business;

- Understand and maintain a profile to record specific requirements of master billing of lading and InterBulk bill of lading for each destination;

- Draft and print off InterBulk bill of lading for signing;

- Manage signed InterBulk bill of lading in file.

Key Activity 4 – Management of local operational agents and subcontractors

- Be an interface with local operational agents and/or subcontractors for export business;

- Assign jobs to local operational agents and/or subcontractors and monitor business going;

- Coordinate in between with customers and local operational agents and/or subcontractors if any;

- Set and monitor QHSSE KPI for each agent or subcontractors.

Key Activity 5 – Job journal and business report

- Maintain daily operational journal and prepare reports as per request;

- Follow in IT system –SwiftXP.

- 在系统中更新订单成本;

- 评估并审批额外成本，并通知客户经理及时向客户收取相关额外费用;

- 准备InterBulk专用提单;

- 准备运输指令及相关文件，并及时通知海外代理;

- 通知财务部门及时向客户递交帐单.

主要职责2 – 客户沟通

- 与客户经理保持紧密联系，了解客户历史及背景;

- 与客户保持日常沟通;

- 为每个客户设立专门档案，以记录客户需求.

主要职责3 –海外代理商和提单管理

- 与海外代理商保持日常沟通;

- 熟悉不同目的港对无船承运人提单及InterBulk提单的特殊要求，保留相关档案记录;

- 出具InterBulk提单;

- 管理经签署的InterBulk提单档案.

主要职责4 –本地的业务代理和分包商管理

- 与本地的业务代理和分包商保持紧密联系;

- 向业务代理和分包商分配工作并监督执行;

- 必要时负责协调客户与和业务代理和/或分包商的关系;

- 为业务代理和分包商设定QHSSE指标并监督执行.

主要职责5 –工作日志和业务报告

- 维护日常工作日志并准备相关业务报告;

- 维护SwiftXP操作系统.
