Office Administrator
Location: Shanghai




Job scope:

Primary objective of this role will be to provide smooth and efficient administrative support to Senvion Shanghai office staff including multiple roles of reception, administrator, cashier, etc..


Office Administration:
- Support on office decoration as well as office facility purchasing.
- Purchase and manage office consumables such as stationary, water, coffee etc.
- Maintain all office facilities in good condition and keep office environment clean and in good order.
- Order printing of name cards, brochures, envelopes, etc.
- Make reservation for flight, hotel, restaurant and meeting room as required.
- Contact persons concerned for maintenance and service of office machines, photocopying etc..
- Responsible for office EHS.
- Communicate & deal with landlord, property management co., other authorities related to office management.

To perform the receptionist function and present a professional image and high quality service to internal and external customers:
- Answer phone and direct to the right personnel.
- Receive letters, faxes, couriers and message and deliver to proper receiver.
- Receive & welcome visitors.

Acting as cashier:
- Cash and bank transaction management, ensure cash balance is reconciled with cash on hand and do bank reconciliation.
- Be responsible for supplier payment, staff reimbursement and capital account FX settlement, ensure all payment and expense claim following accounting regulation and company’s policy.
- All accounting vouchers and payment documents archive and filing properly.
Be responsible for input cash and bank transactions into accounting system accurately.
- Co-ordinate with company internal and external auditors for cash and bank transactions audit, and provide relevant vouchers or documents.
- Complete ad-hoc tasks assigned by Finance manager.


Required Qualifications:
- Bachelor degree or equivalent majoring in Administration, English or related.
- 2 years above office admin work experience in Foreign Company.
- Experiences in accounting or cashier is preferred.
- Executive assistant experience is preferred but not a must.
- Fluent oral and written English.
- Be skillful in office software with Word, Excel, Outlook, Power Point etc.
- Proactive, responsible, detail-oriented, service-oriented.
- Good communication and coordination skills.
- Team work spirit.
- Good time management, and work planning and prioritizing ability.
