职位描述
Basic Purpose
To function as primary client liaison and team leader for assigned travel programs, responsible for coordination of all program planning from pre-sale stage to final billing, while providing unparalleled levels of customer service on all travel programs. Work closely with client contact to understand and meet program objectives/outcomes. The scope of this position is dependent upon assigned account/program. It will vary from client to client; program to program; sector to sector.
Job Responsibility
Process Management:
1) Provides leadership to program team(s) and promotes positive team environment as a positive role model.
2) Complete Scope of Work (SOW) document to outline communication process for assigned program.
3) Complete project timeline; establishes a work flow schedule with post sale team to facilitate prompt and accurate handling of all program details.
4) Utilizes business process management system to manage program from sales turn-over meeting to final bill completion.
5) Manages and negotiates hotel, destination management company (DMC), air and all third party contracts. Monitors attrition dates, cancellation policies and ensures contracted services are executed.
6) Produces Web Request form. Communicates between Information Technology support and clients with respect to web requirements on assigned programs.
7) Coordinates pre-trip deliverables; works with Creative Communications to produce program materials and dimensionals.
8) Coordinates and attends site inspections.
9) Partners with Air and Attendee Management (A&AM) team to communicate registration and air needs, status meetings and continuous communication throughout program.
10) Coordinates all program details and produces a program itinerary that outlines all program specifics and requirements
11) Completes Post Project Implementation Review template and conducts Project Implementation Review (PIR) meeting.
12) Works with accounting to complete final bill, reviews final billing prior to final invoicing to client.
Financial Management:
13) Responsible for accurate program forecasting and updating business management systems with accurate financial information on a weekly basis.
14) Manages overall program budget, communicates changes to Account Manager (AM)/Account Executive (AE) and client on a consistent basis as outlined in Project Plan.
15) Initiates supplier payments and client invoices and project change orders.
16) Manages cash flow on assigned program.
17) Manages assigned travel programs to meet or exceed specified target margins.
18) Analyzes financial information and determines costing strategies.
19) Advises and consults Project Accountant in the GAAP (General Accepted Accounting Principles) closing process.
Relationship Management:
20) Day to day client contact, works closely with client to ensure program objectives are executed.
21) Maintains proactive, positive, open line of communication between client and Account Manager/Account Executive to ensure understanding of expectations and client satisfaction.
22) Acts as team leader, communicates program requirements to team; works closely with support departments to exceed client requirements and objectives.
23) Works with third party suppliers to arrange services provided by them.
Pre-Sale:
24) Creates proposals and deliverables on renewal business as assigned.
25) Provides expertise with regards to destination, hotel and Maritz services. Works in conjunction with Proposal Development group on new business proposals.
26) Executes sold program letter of agreement on renewal business.
27) Develops initial budgets for assigned programs
Others:
28) Works on special projects as assigned by the Director of Project Management or Project Account Manager.
29) This job function requires or may require travel to destinations worldwide, in support of client site inspections and/or program operations. There is an inherent risk associated with all travel, often as a result of extraordinary circumstances. Therefore, during an emergency, it is your duty to provide the necessary guidance and leadership, and to promote the safety of the client, travel participants and other Maritz employees by implementing or supporting prescribed crisis procedures.
Qualifications
- Two years experience preferred in hospitality industry or equivalent in program operations environment.
- Project management, meeting, or event planning experience preferred.
- Destination knowledge preferred.
- Prior successful experience in developing and maintaining key client and Account Manager/Account Executive relationships.
- Oral presentation and writing experience preferred.
- Prior experience in effectively handle multiple projects/demands.
- Strong knowledge of program/event management and budget maintenance.
- College degree preferred.
- Proven aptitude for technology and/or software solutions and analytical skills required.
- Ability to travel by airplane, boat, rail and/or car up to 30% of time preferred.
